Job Description:The Front Desk Representative is responsible for the day-to-day assistance to all of our Caregivers by being the point of contact for visitors to the office. They serve as a liaison between the agency and the Caregivers, communicating the Caregivers' needs and requests, ensuring that they are represented and supported.
 
Job Responsibilities:
<ul>
<li>Greet and welcome Caregivers to the office</li>
<li>Answer incoming phone calls and direct parties to the appropriate department</li>
<li>Assist Caregivers with questions related to payroll, PTO, cases, etc.</li>
<li>Collect and upload documents into our electronic system</li>
<li>Maintain personnel records and ensure accurate data entry in appropriate systems </li>
<li>Assist with HHAeXchange app and IVV/EVR training</li>
<li>Support caregiver applications and training classes as needed</li>
<li>Conduct thorough caregiver interviews to ensure candidates meet True Care standards</li>
<li>Guide caregivers in submitting required paperwork and medical documentation, both in-person and via phone</li>
<li>Assist with translating for applicants and help with the digital applications for those who need it </li>
<li>Review all medical and I-9 paperwork submitted is acceptable </li>
<li>Assist with scheduling medical appointments for those who are authorized and in need of tests to be performed to complete their paperwork </li>
<li>Upload all required documentation and maintain detailed notes in the network drive, Acuity, HubSpot, and HHAeXchange</li>
<li>Audit all completed application profiles prior to orientation for compliance accuracy </li>
<li>Conduct reference verification calls as needed</li>
<li>Assist with scheduling orientation and in-service as needed </li>
<li>Maintain HIPAA compliance and regulations
<ul>
<li>Maintain accurate onboarding records in Hubspot and paper files.</li>
<li>Ensure all onboarding forms and required documentation are completed, signed, and stored in compliance with company policies and regulatory requirements. </li>

Job Requirements:
<ul>
<li>Fluency in Spanish is required</li>
<li>HS graduate/ GED equivalent</li>
<li>Experience in HHAeXchange is a plus</li>
<li>Prior experience in HR preferred/knowledge of DOH and DOL HHA employment requirements a plus</li>
<li>Excellent communication and interpersonal skills</li>
<li>Accuracy and attention to detail, outgoing, positive personality, team player</li>
