POSITION OVERVIEW
New York Hall of Science (NYSCI) seeks an experienced Director of Facilities to ensure smooth day to day building operations and service excellence. Reporting to the SVP of Operations, and working dynamically across departments and organizational units, the Director will oversee all aspects of Facilities, Maintenance and Security, providing supervision and mentorship to a team of Building Maintenance, Custodial and Security professionals, create and implement best in class standard operating procedures, and emergency/safety plans, and help to ensure the overall vitality and safety of NYSCI campus and grounds.
The Director will be an experienced building operator with a track record in cultural and/or educational institutions, with expertise in management systems, building trades, construction project management, maintenance standards, and security and safety protocols, including Fire Life Safety. The Director also manages a portfolio of vendor relationships and serves as the main point of contact with external contractors and service providers (e.g. HVAC, Electrical, Plumbing, Elevator, Grounds, etc.). Successful candidates will also demonstrate exceptional team leadership abilities, project management and relationship building skills, with an emphasis on collaboration and working across departments.
PRINCIPAL RESPONSIBILITIES
Building Operations
<ul>
<li>Ensure operational excellence as related to best-in-class of Museum facility and security services</li>
<li>Assure departmental organization and systems reliably sustain facility operations, in full compliance with all regulatory and safety standards</li>
<li>Ensure the Facilities department is effectively structured to best serve Museum needs, ensure safety and security, and meet operational financial objectives</li>
<li>Ensure all HVAC, MEP, fire/life-safety and building control systems are fully functioning, compliant and properly maintained</li>
<li>Oversee all routine maintenance and repair work throughout Museum facilities, including regularly evaluating systems, identifying needs, and scheduling and supervising work</li>
<li>Manage and troubleshoot issues related to the building including preparing preventative maintenance contracts, supervising vendors and contractors across multiple trades, communicating necessary maintenance to relevant Museum staff</li>

Cross departmental coordination &amp; Collaboration

<li>Assist with event planning and logistics by participating in regular events and production meetings</li>
<li>Coordinate with multiple departments to plan and organize operational event needs ensuring setup is complete by the predetermined time</li>
<li>Schedule and assist with event vendor needs including loading dock, electrical, potable water, etc.</li>
<li>Work with program areas during events regarding, ingress/egress and ADA compliance, and related security, back-of-house activities and preparing, filing and maintaining temporary security and custodial needs</li>
<li>Collaborate and take the lead with Visitor Experience and Exhibit Experience to ensure that all emergency preparedness roles, manuals and trainings are up to date</li>
<li>Serve on the Cross Departmental Safety Committee, contributing to a culture of safety and wellbeing at NYSCI; provide guidance and recommendations per operating plans</li>

Supervisory Responsibilities:

<li>Manage the Facilities, Maintenance and Security staff, including daily, weekly/bi-weekly check ins with direct reports and entire team, performance management and development</li>

QUALIFICATIONS

4. Collect for presentation to Community Manager information required to qualify, screen and accept applicants for residence while following established policies, procedures and Fair Housing requirements.
5. Maintain prospect traffic and leasing data and assist with other data entry as needed.
6. Quickly completes maintenance service requests and informs the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc. Follow-up on a timely basis if unable to respond to residents on all matters.
7. Ensure leasing office, tour path, model and/or vacant apartments, amenities and general curb appeal is pleasing to all 5 senses and is impeccably clean, if necessary spot cleaning to maintain a high standard of cleanliness.
8. Fully informed of current rental rates, sizes, locations and all amenities of property.
9. Maintain customer service standards by; greeting prospects, responding to resident requests, working with residents to minimize problems and complaints, delivering gifts, inspecting units for move-in, and following through to ensure that issues are resolved.
10. As assigned, properly open and/or close leasing office according to property guidelines.
11. Be vigilant of property condition in consideration of issues affecting curb appeal and safety. Immediately report to Community Manager any physical condition of the property that jeopardizes safety or is otherwise needing repair.
12. Be attentive of contractors performing work on property and report any unsafe or inappropriate observations to supervisor. Similarly, report activities by any parties that seem inappropriate or questionable to you.
13. Attend and participate in sales, customer service, and other training programs to maintain personal skill level.
Responsible for assisting Community Manager in the collection of delinquent rents and lease renewals.
Assist in planning resident functions. Attend functions and participate as host for any functions as directed by the Community Manager.
