POSITION OVERVIEW
New York Hall of Science (NYSCI) seeks an experienced Director of Facilities to ensure smooth day to day building operations and service excellence. Reporting to the SVP of Operations, and working dynamically across departments and organizational units, the Director will oversee all aspects of Facilities, Maintenance and Security, providing supervision and mentorship to a team of Building Maintenance, Custodial and Security professionals, create and implement best in class standard operating procedures, and emergency/safety plans, and help to ensure the overall vitality and safety of NYSCI campus and grounds.
The Director will be an experienced building operator with a track record in cultural and/or educational institutions, with expertise in management systems, building trades, construction project management, maintenance standards, and security and safety protocols, including Fire Life Safety. The Director also manages a portfolio of vendor relationships and serves as the main point of contact with external contractors and service providers (e.g. HVAC, Electrical, Plumbing, Elevator, Grounds, etc.). Successful candidates will also demonstrate exceptional team leadership abilities, project management and relationship building skills, with an emphasis on collaboration and working across departments.
PRINCIPAL RESPONSIBILITIES
Building Operations
<ul>
<li>Ensure operational excellence as related to the best-in-class of Museum facility and security services</li>
<li>Assure departmental organization and systems reliably sustain facility operations, in full compliance with all regulatory and safety standards</li>
<li>Ensure the Facilities department is effectively structured to serve the Museum's needs best, ensure safety and security, and meet operational financial objectives</li>
<li>Ensure all HVAC, MEP, fire/life-safety, and building control systems are fully functioning, compliant, and properly maintained</li>
<li>Oversee all routine maintenance and repair work throughout Museum facilities, including regularly evaluating systems, identifying needs, and scheduling and supervising work</li>
<li>Manage and troubleshoot issues related to the building, including preparing preventative maintenance contracts, supervising vendors and contractors across multiple trades, and communicating necessary maintenance to relevant Museum staff</li>
<li>Create, monitor, and adhere to budgets and schedules for all facility services and capital projects</li>
<li>Review and submit invoicing for Facilities and Security Departments</li>
<li>Provide oversight on all building facilities operations and security projects, including leading project meetings. </li>
<li>Determine and assess the scope of the project and function as the primary communication point between all parties internally and externally</li>
<li>Develop and implement policies and standardized operating procedures, including Emergency Preparedness and Disaster Management Procedures</li>
<li>Personally oversee the Facilities and Security response to any potential disasters and/or emergencies</li>
<li>Direct and control construction projects to ensure completion according to plans, specifications, schedules, budgets, and contractual commitments.</li>
<li>Ensure compliance with all requisite regulations concerning employee and public health and safety and building codes.</li>
<li>Keep current with security protocols, manage relationships and training with security vendors, and ensure good customer service from security and facilities staff.</li>
<li>Coordinate with federal, state, and local agencies governing the facilities' operation.</li>
<li>Ensure compliance with all human resource and workplace standards for department employees.</li>
<li>Maintain as-built plans for the entire facility.</li>
</ul>
Cross-departmental coordination &amp; Collaboration
<ul>
<li>Coordinate building activities with the on-site Cafe and ensure compliance with the operating agreement</li>
<li>Support programming by providing adequate facility staffing and ensuring facility condition requirements are met</li>
<li>Assist with event planning and logistics by participating in regular events and production meetings</li>
<li>Coordinate with multiple departments to plan and organize operational event needs, ensuring setup is complete by the predetermined time</li>
<li>Schedule and assist with event vendor needs , including loading dock, electrical, potable water, etc.</li>
<li>Work with program areas during events regarding ingress/egress and ADA compliance, and related security, back-of-house activities, and preparing, filing, and maintaining temporary security and custodial needs</li>
<li>Collaborate and take the lead with Visitor Experience and Exhibit Experience to ensure that all emergency preparedness roles, manuals, and training are up to date</li>
<li>Serve on the Cross Departmental Safety Committee, contributing to a culture of safety and well-being at NYSCI; provide guidance and recommendations per operating plans</li>
</ul>
Supervisory Responsibilities:
<ul>
<li>Manage the Facilities, Maintenance, and Security staff, including daily, weekly/bi-weekly check-ins with direct reports and the entire team, performance management, and development</li>
<li>Create schedules for the Security, Facilities, and Maintenance staff, to facilitate programming and special events needs</li>
<li>Implement and steward an ongoing training and credentialing program for Facilities, Custodial, and Security Staff</li>
<li>Serve as a knowledge holder for time and attendance policies under the Collective Bargaining Agreement</li>
<li>Other related duties and responsibilities, as assigned</li>
</ul>
QUALIFICATIONS
<ul>
<li>Bachelor’s Degree in Business Administration, Operations Management, Information Management, Engineering, a related field, and/or its work experience equivalent</li>
<li>7+ years of senior management experience in facilities management, building operations, preferably in a cultural institution, university, or public-facing organization with high visitation</li>
<li>Demonstrated ability to effectively project manage multiple streams of work (construction, renovation, maintenance)</li>
<li>Knowledge of Federal, State, and Local compliance and safety standards, and industry best practices</li>
<li>Proven track record of excellence in leadership with the ability to build motivation and teamwork in direct reports</li>
<li>Experience with building management systems</li>
<li>Prior experience managing a unionized workforce</li>
<li>Experience developing specifications for contracted facilities projects, preventative maintenance, and vendor management</li>

Reporting to the General Superintendent, the Senior Superintendent provides overall administrative and technical management of the construction project. The Senior Superintendent manages all on site construction activities including self-perform labor, subcontractors and consultants to successfully execute large and complex projects. 
Responsibilities / Essential Functions 
<ul>
<li>Administer project safety program to maintain a safe and healthy work environment. </li>
<li>Proficient in all five areas of focus on their project: </li>
<li>Safety, Schedule, Cost, Quality, and creating Raving Fans with all external partners. </li>
<li>Develop and implement a site-specific safety plan for each project assigned. </li>
<li>Verify that all subcontractors have a valid subcontract and an acceptable insurance certificate prior to working on site. </li>
<li>Serve as the OSHA competent person for various tasks or assign others to serve as competent person. </li>
<li>Preplan all operations to produce innovative and efficient methods to avoid hazards. Senior Superintendent must correct all recognized hazards immediately. </li>
<li>Supervise construction effort to ensure project is constructed in accordance with the plans and specifications. </li>
<li>Thoroughly understand the contract (owner/subcontractor), owner requirements, contract plans, contract specifications, submittals and any change documents </li>
<li>Provide technical assistance on the project, interpret contract drawings and submittals, and develop construction methods consistent with contract documents. </li>
<li>Work with the project team to set project goals and schedule milestones. </li>
<li>Coordinate all required labor, equipment, small tools, permanent materials, and supplies as needed for self-perform operations. </li>
<li>Create the Site-Specific Quality Plan (SSQP), manage all aspects of project quality efforts. </li>
<li>Complete onsite material verification as required for the project. </li>
<li>Manage project budget requirements: </li>
<li>Assist the Project Manager in developing budgets and monthly costs to complete. </li>
<li>Manage T&amp;M process, including verification of time and materials. </li>
<li>Track production and submit quantities weekly. </li>
<li>Identify changes in the field, authorize field change requests, provide all documentation required to ensure compensation for all work performed. </li>
<li>Assist in the approval process for all subcontractor requisitions. </li>
<li>Manage the project to meet schedule requirements and milestones. </li>
<li>Develop a baseline schedule with Project Services Group. </li>
<li>Track progress against baseline schedule and critical path dates. </li>
<li>Communicate schedule requirements at weekly subcontractor meetings. </li>
<li>Develop a short-term plan on a weekly basis that directly supports the project schedule and looks ahead a minimum of 3 weeks. </li>
<li>Coordinate and lead the daily stand up and weekly foreman meetings. </li>
<li>Ensure that the material delivery log is updated and accurate. </li>
<li>Interface with client representatives, A-E representatives, other contractors, and various building officials in a professional manner. </li>
<li>Participate in business development. Create Raving Fans on current projects. Utilize contacts to initiate leads for future projects. </li>
<li>Participate in quarterly Superintendent and Safety meetings, as well as periodic training sessions. </li>
<li>Supervise assigned Foremen, Assistant Superintendents, and Project Engineers.</li>

Required Experience
<ul>
<li>Bachelor’s degree required, preferred in Construction Management/Civil Engineering. </li>
<li>3-7 years of experience in the construction or related field in a similar role or 7-10 years in a supervisory role as a tradesperson. </li>
<li>Understands building plans and specifications. </li>
<li>Safety standards knowledge and enforcement, OSHA 30 required.</li>
