Job Summary:
We are seeking a detail-oriented paralegal to join our legal team to support our commercial real estate operations. The ideal candidate will have experience with lease administration and documentation. This role will report to the General Counsel.
Core Responsibilities:
· Maintain comprehensive lease tracking calendar for critical dates and deadlines
· Prepare initial drafts of lease amendments, estoppel certificates, and related documents for attorney review
· Serve as primary point of contact for internal stakeholders on lease matters, and facilitate collaboration among internal and external teams to achieve alignment on lease terms and requirements
· Coordinate with in-house and outside counsel to maintain lease templates and negotiation playbooks
· Organize and maintain lease files and supporting documentation
· Prepare lease summaries and reports for internal stakeholders
· Manage calendars and internal communication for lease renewals and terminations.
· Liaise between legal, operations, and finance departments on lease administration
Additional Skills & Responsibilities:
· Experience with lease abstracting and creating comprehensive lease summaries
· Familiarity with CAM reconciliations and operating expense reviews
· Tracking insurance certificates and compliance documentation
· Coordinating lease-related payments with Finance department
· Assisting with tenant improvement project documentation
· Maintaining landlord contact and communication records
Specific Transaction Experience:
· Experience with medical office leases and healthcare facilities documentation
· Familiarity with lease assignment and sublease documentation
· Knowledge of estoppel certificates and SNDAs
· Experience with lease termination and restoration requirements
Pay Range:
Non-exempt; $30-$33/hour
Requirements
Technology Requirements:
· Proficiency with LeaseHarbor lease management software
· Advanced skills in Microsoft Excel for lease tracking and reporting
· Experience with document management systems and AI prompting
· Ability to quickly learn new software platforms
Skills and Experience Required:
· Associate's or Bachelor's degree; paralegal certificate preferred
· 3+ years of experience as a paralegal, with focus on commercial real estate
· Strong understanding of commercial lease terms and real estate documentation
· Excellent organizational skills and attention to detail
· Strong written and verbal communication skills
· Ability to work independently while managing multiple priorities
