Job Title: Director of Hospital Admitting
Department: Patient Access / Admitting Services
Reports To: Chief Operating Officer or Hospital Administrator
Compensation:120-150k/Year
Employment Type: Full-Time

Position Overview

The Director of Hospital Admitting is responsible for the strategic leadership and operational oversight of the Admitting, Emergency Room Registration, and Pre-Testing departments. This role ensures efficient patient access, seamless coordination with clinical and administrative departments, and compliance with regulatory and financial standards. The Director serves as a key liaison between patients, providers, and financial services to support timely admissions, appropriate placements, and positive patient experiences.

Key Responsibilities

Departmental Operations

  • Plan, direct, and manage the daily operations of the Admitting, ER Registration, and Pre-Testing departments.

  • Ensure timely and appropriate patient admission, registration, and placement in collaboration with physicians, nursing, and hospital units.

  • Develop and implement policies, procedures, and workflows that promote operational efficiency and excellent patient service.

  • Leverage technology and systems to maintain accurate census, billing, and patient information records.

Leadership & Staffing

  • Develop job descriptions, performance evaluation tools, and training protocols for staff.

  • Evaluate team performance in collaboration with department managers, providing coaching, recognition, and corrective action as needed.

  • Oversee staffing schedules, timekeeping, and approval of overtime or shift changes.

  • Ensure compliance with orientation, competency, and physical examination requirements for department staff.

Financial & Compliance Oversight

  • Collaborate with Financial Administration on prepayment plans, self-pay admissions, and special financial arrangements.

  • Generate estimates for elective surgeries and deliveries, working closely with patients and providers.

  • Monitor departmental budgets and cost centers, reviewing expense reports and identifying cost-saving opportunities.

  • Maintain knowledge of Medicare, Medicaid, and commercial insurance regulations as well as federal and state healthcare compliance requirements.

Reporting & Communication

  • Prepare reports for hospital administration, regulatory agencies, and accreditation bodies.

  • Attend and participate in leadership, compliance, and operations meetings as required.

  • Coordinate with Utilization Review, Case Management, Finance, and Administration to ensure streamlined patient throughput and reimbursement strategies.

Strategic Planning & Innovation

  • Identify and implement revenue-generating strategies related to admissions and patient capacity.

  • Continuously assess and improve workflows, staffing models, and patient access systems to enhance service delivery.

  • Select and recommend office supplies and equipment in alignment with departmental needs and budgets.

Other Responsibilities

  • Perform other related duties as assigned by hospital administration.

  • Support emergency operations or cross-functional duties as needed.

Qualifications

Education:

  • Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, or a related field (required).

  • Master’s degree (MPH, MHA, MBA) is strongly preferred.

Experience:

  • 2–3 years of experience in healthcare administration at a managerial level (required).

  • Prior experience in hospital admitting or patient access leadership roles is preferred.

  • Experience working in compliance with healthcare regulations, billing practices, and payer requirements.

Skills & Competencies:

  • Strong leadership and team-building skills with the ability to motivate and guide staff.

  • Excellent interpersonal and communication skills across multidisciplinary teams.

  • Working knowledge of healthcare regulations (Medicare, Medicaid, HIPAA).

  • Familiarity with electronic medical record (EMR) systems and patient access software.

  • Solid understanding of hospital financial processes and insurance coordination.

  • Ability to manage budgets, analyze reports, and drive continuous improvement.

Work Environment

  • Full-time, on-site position in a hospital or healthcare facility.

  • Occasional extended hours, evenings, or weekends may be required based on departmental needs or emergencies.

  • Collaborative work environment interacting with clinical, administrative, and financial departments.
