ABOUT THE ROLE
As an integral member of the attorney support team, you will serve as the organizational anchor, ensuring smooth daily operations and enabling attorneys to focus on client work. You’ll oversee complex administrative needs, manage sensitive communications, and drive efficiency across multiple workflows. Your contribution will directly impact client satisfaction and attorney productivity.
KEY RESPONSIBILITIES
- Serve as the first point of contact for clients with polished, professional communication.
- Manage attorney calendars and coordinate meetings across multiple time zones.
- Review and triage emails and calls to streamline attorney workload.
- Conduct full client onboarding, including conflict checks and engagement documentation.
- Take ownership of the billing process—preparing proformas, tracking budgets, and liaising with clients.
- Arrange international and domestic travel, manage expenses, and coordinate vendor payments.
- Draft, edit, and format documents with exceptional accuracy.
- Coordinate logistics for client meetings, conferences, and internal events.
- Maintain client and matter files; support audits and compliance reporting.
- Collaborate with administrative departments and assist with overflow tasks as needed.
- Maintain utmost confidentiality and professionalism.
WHAT WE’RE LOOKING FOR
- Experience: A minimum of 2+ years supporting attorneys in a Big Law environment, preferably with a reputable, well-known firm name.
- Technical Skills: Strong proficiency in Microsoft Office; comfort with electronic billing systems is a plus.
- Professional Skills: Impeccable communication, meticulous attention to detail, and exceptional organizational abilities.
- Mindset: Proactive, resourceful, and committed to excellence in client service.
- Education: Bachelor’s degree preferred.
- Billing & Budgeting: Experience preparing bills and monitoring budgets is highly desirable.
