Job Description
We are seeking a detail-oriented and experienced Licensing Project Coordinator, who will also serve as an Executive Assistant, to support our licensing projects and executive team. The Licensing Project Coordinator will oversee and coordinate licensing initiatives and projects within the department, while also working as the Executive Assistant to our CRO.
Key Responsibilities Licensing Coordinator/Manager:
- Manage and oversee licensing projects, ensuring timely and successful delivery
- Will learn contract rights and channels of distribution to help with team projects for pitches and collaborations
- Track project timelines, budgets, and deliverables, providing regular updates to management
- Address and resolve issues that arise during the licensing process for onboarding and maintaining key licensing partnerships
- Collaborate with cross-functional teams to optimize licensing workflows and procedures, internally and externally
- Managing day to day projects for licensor needs as they arise, placement reports, selling recaps, sample pulls, in office meetings, etc
- Stay informed about relevant licensing laws and industry best practices
Key Responsibilities Executive Assistant:
- Provide comprehensive administrative support to senior executives
- Manage calendars, schedule meetings, coordinate appointments in office meetings and externally
- Prepare and organize internal and external communications
- Arrange travel, lodging, and other logistical arrangements
- Assist with preparing reports, presentations, and correspondence as needed
- Manage expense reports and office supplies
- Facilitate communication between external and internal teams
Qualifications:
- Proven experience in project management, particularly in licensing or legal operations
- Strong understanding of licensing and contract management
- Excellent organizational, communication, and negotiation skills
- Ability to manage multiple projects simultaneously and meet deadlines
- Detail-oriented with a focus on accuracy and compliance
- Proficiency in project management tools and software
- Handle confidential information with discretion
Preferred Qualifications:
- Bachelor’s degree
- Experience in the licensing, marketing or entertainment industry
- Project Management Professional (PMP) or similar certification is a plus
