Job Title: Front Desk Admin Lead
Location: Bilingual Speech - Language & Swallowing Therapy
Reports To: Office Director
Position Summary:
The Front Desk Admin Lead plays a key role in ensuring the smooth and efficient operation of the office by managing daily front desk activities, overseeing administrative functions, and leading a team of front desk staff. This position requires strong organizational skills, customer service expertise, and the ability to manage multiple tasks while providing support to both employees and visitors.
Key Responsibilities:
- Front Desk Management:
- Oversee the day-to-day operations of the front desk, ensuring a welcoming and professional environment for visitors and staff.
- Manage phone lines, direct calls, and handle inquiries in a friendly and efficient manner.
- Ensure all visitors are greeted, signed in, and escorted as necessary, following company protocols.
- Team Leadership:
- Lead and mentor a team of front desk administrative staff, ensuring high levels of performance and professionalism.
- Train new team members on front desk operations, customer service standards, and office protocols.
- Coordinate scheduling to ensure front desk coverage at all times during business hours.
- Administrative Support:
- Assist with administrative tasks including scheduling appointments and managing office supplies.
- Prepare and distribute internal communications, memos, and reports as needed.
- Visitor and Client Relations:
- Maintain positive relationships with visitors, and clients acting as the first point of contact for inquiries.
- Ensure that all client-facing interactions reflect the companys values and brand image.
- Office Operations:
- Monitor office inventory and assist with ordering supplies, ensuring the office is fully stocked and organized.
- Support office maintenance needs.
- Ensure adherence to office safety and security protocols, handling emergency situations if needed.
- Reporting and Communication:
- Provide regular updates to the Office Director on the status of front desk operations, team performance, and any challenges.
- Assist in tracking office expenses and budget for office supplies and services.
Required Skills and Qualifications:
- Proven experience in a front desk, administrative, or customer service role. 5 years preferred
- Strong leadership skills and experience in team management.
- Excellent communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g. phone systems, printers).
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Customer service-oriented with a positive, approachable attitude.
- Experience handling confidential information with discretion.
- Knowledge of office safety and security procedures.
- English / Spanish speaking required
Physical Requirements:
- Ability to sit or stand for extended periods.
- Occasional lifting of up to 15 lbs. (e.g., office supplies, packages).
Working Hours:
- Full-time (40 hours per week)
- Occasional overtime may be required
