Robert Half is seeking a Floater Legal Secretary to join our team. This dynamic role involves providing administrative and project support across various practice areas throughout the firm. With responsibilities that vary daily based on assignments, this is the perfect opportunity for a versatile candidate who thrives in a fast-paced, professional environment.

Location: Onsite in Lower Manhattan, NY

Type: Full-Time (Temp to Perm)

Hours: 9:30am-5:30pm EST, Monday-Friday

Pay Rate: $27-$35

Key Responsibilities

  • Prepare, edit, and format legal and non-legal documents (e.g., letters, memos, forms, litigation documents).
  • Proofread and review documents for accuracy and quality.
  • Generate litigation-related components, including Table of Contents and Table of Authorities.
  • Perform blacklining and document comparison tasks.
  • Assist with client onboarding by preparing New Case Memos and Engagement Letters.
  • Enter attorney time in the firm’s billing system and prepare expense reports for the Accounting Department.
  • Maintain and organize client files in the firm’s Document Management System (iManage).
  • Create and edit PowerPoint presentations as needed.
  • Coordinate administrative duties such as arranging meetings, scheduling conference rooms, making travel arrangements, ordering meals, and managing reservations.
  • Provide coverage during vacations and absences for other legal secretaries as required.

Qualifications

  • Required Education: High school diploma (Associate’s or Bachelor’s degree preferred).
  • Experience: 5+ years of experience as a Legal Secretary in a law firm setting.
  • Technical Skills:
  • Proficiency in Outlook, Word, Excel, PowerPoint, and Adobe.
  • Knowledge of iManage, Best Authority, and legal time/billing systems preferred.
  • Key Competencies:
  • Excellent command of the English language, including grammar and spelling.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage time, multitask effectively, and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication abilities with clients and staff.
  • Professional demeanor, discretion, and confidentiality when handling sensitive matters.
  • Flexibility to adapt to changing priorities and work overtime when required.
