Our client, a top-tier litigation law firm in Westchester County, is seeking a highly organized and experienced Executive Assistant to assist a busy Partner. This role requires a sharp, detail-focused individual who thrives in a fast-paced environment and can handle both work-related and personal tasks with efficiency and discretion. The ideal candidate will demonstrate exceptional organizational skills, sound judgment, and the ability to manage multiple priorities seamlessly. This role offers remote flexibility (typically 4 days in office, 1 day remote), comprehensive benefits, PTO, and the opportunity to join a supportive and high achieving team! Must have prior law firm experience supporting partners.
Responsibilities:
• Manage the Partner’s busy calendar, including scheduling meetings and appointments to ensure optimal time management.
• Prepare and draft engagement letters and other legal correspondence as required.
• Accurately record and enter the executive’s billable time into the appropriate systems.
• Handle personal errands such as picking up medications or dry cleaning, and ensure these tasks are completed promptly.
• Serve as the primary point of contact for incoming calls, emails, and inquiries, exercising discretion and professionalism.
• Organize and maintain files, ensuring easy access to important documents and records.
• Drive and run errands as needed, maintaining flexibility to support the executive’s demanding schedule.
• Minimum of 5 years of experience as an Executive Assistant or Legal Secretary supporting senior executives or partners.
• Previous experience working in a law firm setting is required.
• Exceptional organizational and time-management skills, with a keen attention to detail.
• Proficiency in Microsoft Office Suite
• Strong skills in calendar management and coordination.
• Must hold a valid driver’s license and be comfortable running personal errands.
• Adaptability to remote work and flexibility in responding to changing priorities.
