Job DescriptionLHH Recruitment Solutions is seeking a Legal Office Manager for a law firm based in NYC.
Responsibilities:
- Organize, manage, and maintain legal documents, including case files, pleadings, contracts, and correspondence, ensuring accurate and timely filing in NY, NJ, and Federal courts.
- Prepare and coordinate the filing of legal documents such as briefs, motions, and discovery requests.
- Manage attorney calendars, including court appearances, deadlines, meetings, and travel arrangements.
- Provide high-level administrative support, including answering phones, drafting correspondence, managing emails, and directing inquiries.
- Communicate professionally with clients, court personnel, opposing counsel, and external parties as needed.
- Oversee daily NYC office operations, including ordering and maintaining office supplies, equipment, and facilities in collaboration with headquarters.
- Coordinate workspace and logistical needs for new and visiting attorneys; partner with IT to ensure timely access to systems and equipment.
- Utilize firm systems including NetDocuments (or similar document management systems), Best Authority (for generating Tables of Authorities and Tables of Contents), and SurePoint (or comparable billing and timekeeping software).
- Foster a professional, organized, and collaborative office environment.
Qualifications:
- Minimum of 3+ years of experience in a legal support or office management role within a law firm setting.
- Bachelor’s degree in legal studies, Business Administration, or a related field.
- Proficiency in Microsoft Word and Outlook, with a strong ability to quickly learn new applications and systems.
- Experience with e-filing in State (NY/NJ) and Federal courts.
- Familiarity with document management systems such as NetDocuments.
- Experience using Best Authority to generate tables of authorities and tables of contents.
- Prior experience with SurePoint or similar legal billing platforms.
- Excellent organizational, multitasking, and time management skills.
- Strong communication and interpersonal skills with a client-service mindset.
- Ability to anticipate needs, maintain confidentiality, and adapt effectively in a fast-paced legal environment.
Schedule:
- 9am-5pm in person
Pay Details: $75,000.00 to $100,000.00 per year
