Main Function:

Works within a team environment scheduling outpatient exams for various hospital services, and various Hospitals. Reports directly to the Central Scheduling Supervisor.


Duties and Responsibilities:

Communication:

  • Promptly answers phones in a professional and courteous manner.
  • Utilizes various telephone applications- forwarding, conference calls, etc.
  • Employee may function as a Switchboard Operator
  • Ability to schedule simple and complex patient appointments- for various depts. CT, US, MRI, X-RAY, PET/CT, MAMMO, DEXA. HEART INS. - ECHO, NUCLEAR STRESS TEST, STRESS ECHO, HEART CATH, EP STUDY, ETC.
  • Is responsible for order entry of exams.
  • Scheduled in a timely manner.
  • Communicates courteously and effectively with Patients, Offices, Departments, Doctors, Nurses, etc.
  • Demonstrates an Understanding medical terminology.

Clerical:

  • Understanding the ability to locate a patient in various systems- Soarian, Qmed, eCw.
  • Knowledge of All insurances. Whether it's Primary or Secondary
  • Knowledge of Allocating Insurances and checking for Eligibility
  • Demonstrates insurance knowledge utilizing insurance verifications tools to accurately verify patients insurance
  • Making sure there's an Authorizations, or No Authorization Required. Getting expiration dates for the Authorizations, or Reference numbers for No Authorization Required.
  • Knowledge of ICD-10 codes to ensure the medical center receives maximum reimbursement.
  • Knowledge of Medicare requirements and ICD-10 Codes that are approved and to communicate with the provider or office when a code is not approved.
  • Knowledge of Procedure Codes (CPT Codes)
  • Demonstrates a thorough understanding of medical terminology.
  • Knowledgeable of the different type of procedures scheduled.
  • Knowledge of what test needs Labs and what Labs are needed.
  • Knowledge of height and weight on specific exams
  • The ability to accurately schedule patients exams for all departments and to best utilize the technologists time.
  • Knowledge of all patient preps for all exams and communicates this information at the time of scheduling.
  • Prioritizations and sequence of exams.
  • Communicates all questions to the appropriate department.
  • Ability to conference with other departments to bring about conflict resolution to scheduling issues.
  • Demonstrates the ability to be cross trained within the department as required by the Supervisor/Director.

Computer:

  • Demonstrates basic computer skills.
  • Demonstrates the knowledge and ability to work within the Medical Center's computer system. Soarian, Qmed, and eCw.
  • Maintains computer security.

Working Relationship:

  • Has general knowledge of the Hospital's departments and interactions with each other.
  • Interacts with physician and offices in a positive and courteous manner.
  • Establishes and maintains collaborative working relationships with other health team members.
  • May perform other duties as requested by supervisor/manager which contributes to the smooth operation of the department.

Quality:

  • Demonstrates reliability in the conscientious, complete and accurate manner in which work assignments are performed.
  • Demonstrates quality improvement principles in daily work and participates in QI monitor and reporting.

Quantity:

  • Demonstrates flexibility in work schedule to meet the needs of the department.
  • Demonstrates the ability to perform multiple tasks as required by the position.
  • Continuously utilizes time to maximize full potential, sets priorities.
  • Uses good organizational skills.
  • Time management.

Safety:

  • Functions within an awareness of risk management and safety issues, reports concerns appropriately.
  • Maintains complete understanding of Arnot Health's emergency codes.

Professionalism:

  • Is accountable for his/her own actions.
  • Maintains professional behavior and appearance, and Wear's Arnot Health's Id Badge.
  • Maintains and respects patients and patient confidentiality.
  • Addresses customers in a pleasant and respectful manner, displaying courtesy at all times.
  • Attends staff meetings.

Other:

  • Is responsible for attending all annual mandatory educational programs as required by position.
  • Employee understands and demonstrates the importance of satisfying the needs of the customer/patient.
  • Interacting in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically.
  • Taking the initiative to maintain communication with the customer in order to provide a pleasant experience with the Arnot Health.

Education:

  • High School graduate or equivalent. Hospital experience preferred. Knowledge of medical terminology and ICD-10 Coding required.

Experience:

  • Good organizational, communication, and customer relations skills.
  • Telephone courtesy.
  • Service oriented experience preferred.


Cardiopulmonary Resuscitation (CPR) Requirements:

  • No CPR required
  • Light physical effort. Typical office job.

Exposure Category:

  • Category III Tasks that involve no exposure to blood, body fluids, or tissues.
  • Category I Tasks are not a condition of employment
