Schedule: Monday – Friday, 9:00AM – 5:30PM, with occasional weekends during tax season
and additional overtime as approved.

Salary: of $55K – $65K annually
We are seeking a professional and organized Front Desk Coordinator/Receptionist to serve as
the first point of contact for clients, visitors, and vendors. This individual will play a key role in
creating a welcoming and efficient office environment while supporting the daily operations of
the firm. The Receptionist will manage front desk responsibilities, including greeting guests,
answering and directing calls across multiple office locations, processing mail and shipments,
and maintaining office supplies. The ideal candidate will be detail-oriented, reliable, and able to
multitask in a fast-paced professional setting, particularly during tax season. This position offers
the opportunity to work closely with administrative staff and partners, supporting the firm’s
commitment to exceptional client service and operational excellence.
Qualifications and Requirements:
- High school diploma or equivalent; associate’s degree preferred.
- 1–3 years of experience in a receptionist or administrative support role, ideally within a professional services or accounting firm.
- Excellent communication, organization, and multitasking skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and comfortable learning new software tools.
- Professional demeanor and customer service orientation.
- Ability to handle confidential information with discretion.
Key Responsibilities:
- Greet and assist clients, guests, and vendors in a professional and courteous manner.
- Answer and direct incoming phone calls for multiple office locations (Westhampton
Beach, White Plains, and two NYC offices).
- Handle incoming and outgoing mail, including USPS, FedEx, and other courier services.
- Manage postage and coordinate FedEx shipments for clients.
- Distribute faxes and ensure timely delivery to appropriate recipients.
- Process all incoming and outgoing shipments and maintain related records.
- Order and maintain inventory of office and kitchen supplies, monitor supply levels throughout the year and during tax season.
- Maintain the conference room calendar and ensure meeting spaces are organized and properly equipped.
- Provide professional phone and calendar management support to assigned Partners, including handling calls, scheduling appointments, and maintaining organized calendars.
- Order and coordinate printing of business cards for staff.
Tax Season Responsibilities
- Perform all regular receptionist duties as listed above.
- Provide administrative support to the admin team, including assisting with Acceptances and monitoring/responding to relevant emails.
- Help ensure the front desk and office operations run smoothly during peak tax season activity.
