Position Overview

The Repair and Maintenance Coordinator is responsible for organizing, scheduling, and overseeing repair and maintenance activities across Maman Tri-state locations. This role ensures that maintenance tasks are completed efficiently, cost-effectively, and in compliance with safety and operational standards.

The ideal candidate is detail-oriented, communicative, and highly organized, with strong logistical planning skills. They must be able to assess the scope and urgency of repair needs, determine when to utilize in-house maintenance staff versus outsourcing to external vendors, and clearly understand what constitutes an emergency repair situation. A successful coordinator will proactively manage repair timelines, optimize resource allocation, and ensure a rapid response to urgent issues to minimize operational disruptions and downtime.

Key Responsibilities

  • Coordinate, schedule, and oversee all repair and maintenance lifecycles across Maman’s Tri-state locations.

  • Prioritize and respond to maintenance requests in a timely and cost-effective manner.

  • Evaluate repair needs and determine whether to assign to in-house Maintenance & Repair Manager or outsource to external vendors.

  • Maintain an updated list of approved vendors and manage ongoing vendor relationships.

  • Monitor and track work orders, repairs, and preventive maintenance through a maintenance management system or manual logs.

  • Clearly identify and escalate emergency repair situations to ensure immediate resolution.

  • Manage logistics related to repair schedules, parts ordering, contractor coordination, and access to locations.

  • Ensure all maintenance work complies with safety regulations, company standards, and local codes.

  • Maintain organized documentation of service records, warranties, inspection reports, and invoices.

  • Monitor maintenance-related expenses and help manage budget adherence set in place by management.

  • Communicate effectively with the VP of Tri-State Area & Operations Services, Maintenance & Repair Manager, Regional Operations Directors and store leadership on the status of repairs and service timelines.

Qualifications

  • 2–4 years of experience in facilities coordination, maintenance management, or related roles.

  • Strong organizational and logistical planning skills.

  • Ability to prioritize tasks and manage multiple work orders simultaneously.

  • Clear understanding of when to escalate or treat a situation as an emergency.

  • Familiarity with general building systems (plumbing, HVAC, electrical, etc.) is a plus.

  • Strong communication skills and ability to work with both technical and non-technical teams.

  • Experience coordinating with vendors and managing service contracts preferred.

  • Proficiency in Google Workspace, Excel, or facilities management software a plus.

  • Ability to occasionally travel between Maman locations as needed.
