The Job

Zachys is hiring a Auction Manager for its Auction Team. The Auction Manager organizes and oversees the execution of auction events in the Americas and of day-of-auction operations worldwide.

Consignments

  • Develop leads and establish long term relationships with potential consignors and buyers for Auction and Retail
    1. Negotiate consignments for live and online auctions
    2. Solicit and guide buyers for live, online auctions and retail; proactively advise clients on bidding and buying
  • Oversee progress of consignments from appraisal stage through post-auction
  • Organize and manage all buyer pre-sale and post-sale outreach for US sales – CS Specialist
  • Oversee contract creation and periodically review approvals/information needed for all types of consignment agreements with global specialist team; train a second person to manage these requests – CS Specialist or Auction Administrator
  • Special projects as assigned

Events

  • Create and host fine wine tasting dinners; analyze potential profitability of events
  • Manage all pre-auction events based in Americas
  • Prospect venues for all events
  • Manage live auction day hospitality and client-related details
  • Liaise with the internal global sales team to drive attendance to all events and help with promotion
  • Ensure all Promotional materials are at events (auction catalogs, offer letters and so forth)
  • Contribute to website with tasting notes, highlights, event content and recaps
  • Manage relationship with Sponsorships/Partnerships
  • Lead event meeting and brand partnership meeting
  • Ensure Events Page on Website is fully up to date and exciting and work with VP of Marketing and the retail division on marketing across both auction and retail websites

Auction Management

  • Auction Day-Of Management (studio + live sales): Coordinate all staff, tech and venues
  • Live Auction Operations Management: Manage live auction vendor relationships and invoices, planning contingencies, and brainstorming new technologies, improvements and procedures
  • Bidding Party Tech Coordination
  • Review for areas of improvement of client interface with live and studio sales and bidding parties.
  • Special Auctions Coordination & Project Management Data management, content management, partner relationship management, in addition to live sale coordination – Auction Administrator to train on and assist
  • Plan Auction Calendar + Manage Updates to Schedule, keeping eye on global calendar; run scheduling meeting
  • Work with GMD & CFO to develop policy & procedures, continue to refine existing T disseminate to team
  • Work with Collections Manager to ensure NY team cooperation with collections procedures
  • Develop and oversee onboarding of new ZWA personnel
  • Build and maintain training documents to ensure consistent process (auction PFC, auction contracts, auction day-of operations, event management)
  • Manage intern program
  • Build reports to review T&E tracking
  • Contribute to building of CRM to suit auction’s needs (represent auction on this project)

Represent auction team for development of website replacement

Hours

Monday-Friday; some evenings and weekends as needed. Travel for events, consignments, auction management as needed.
