CABVI is seeking a Medical Billing Office Coordinator to provide direct support to the Rehabilitation team by acting as liaison between the medical offices and the Business Office for process workflow, customer service, billing, inventory tracking and customer accounts. Coordinate effectively between departments for smooth executions, successful completions, and thorough communications by establishing clear communication channels, leveraging technology, and fostering open dialog and accountability.
JOB RESPONSIBILITIES:
- Act as point of contact for all consumers regarding their accounts. Create new consumer accounts in software and oversee, collect and review co-pays and deposits/payments for all consumers as needed.
- Provide moneys received to the Business Office daily with details of the matching invoices.
- Communicate all moneys received involving insurance claims to third-party billing service timely.
- Assist with preparing and entering consumer invoices timely while ensuring accurate billing.
- Collect, verify and enter billings for various rehabilitation services such as OT, Social Work, NYS voucher billing and Early Intervention.
- Ensure that all billings are submitted and entered timely into the software and that all documentation is complete.
- Verify payments are correctly updated and recorded in software by monitoring and tracking accounts.
- Point of contact for all consumers and accounts for the Billing Office and third-party billing service. Collaborate with both to create efficient processes and match/reconcile accounts as needed.
- Provide backup to submitting insurance claims for consumer payments, follow up on submissions as needed and keep track of balances owed or adjustments.
- Review, investigate and resolve billing and account issues while working with consumers, staff and/or Business Office to resolve discrepancies and ensure timely resolutions. Identify trends and late payment issues and record and maintain notes in software.
- Ensure that collection efforts are being made via phone calls, etc. for customer balances in a timely and professional manner.
- Oversee the flow of adaptive, optical and eyewear inventory by receiving PO requests/MR’s, reviewing them to assess the needs of the department, submitting for approval and placing orders as needed. Responsible for managing the flow of orders and sending them to the appropriate departments for special orders as needed. Work with the Business Office for invoice processing and inventory controls and audits.
- Create department policies and procedures as they relate to these processes and ensure they are followed. Train associates on policies, processes and best practices.
- Assist with providing routine reports to management. Respond to any requests for data such as an aging analysis, billing information, write-offs and collections, statistics, etc.
- Coordinate and provide billing assistance to the other Rehabilitation locations as needed.
- Attend Rehabilitation and Business Office Department meetings regularly to promote and ensure open communications, expectations, understandings and knowledge share across the teams.
- Promote and maintain a strong internal controls environment.
- Effectively communicate with employees and maintain a positive working relationship when addressing problems and coming up with solutions. Work as part of the team to improve processes, efficiencies, communication, and promote resolutions so the agency can pursue its mission.
- Adapt to change and complete all other duties as assigned.
- Consistently achieve annual performance objectives
JOB REQUIREMENTS:
- Associate’s degree in business administration, office management or related field with a minimum of three years’ accounts receivable and insurance billing required. Must have prior experience in process training.
- Must have good typing, data entry and mathematical skills.
- Must have excellent computer skills including Microsoft Word and Excel.
- Must have a basic understanding and experience with product inventory.
- Must be willing to learn new technologies and have good security practices for sensitive information.
