Administrative Paralegal – Litigation & Title IX
Location: New York, NY

Summary:
Offit Kurman is seeking a highly proactive and detail-oriented Administrative Paralegal to join our New York office, supporting two litigation attorneys, one of whom focuses on Title IX law. This role includes both paralegal support (30% billable) and administrative functions (70%), requiring a candidate with strong litigation experience, outstanding communication skills, and a high degree of professionalism. Experience with client management systems and professional client communication is essential, and familiarity with social media account management is a plus.

Responsibilities:

  • Manage complex schedules for two attorneys, including coordinating meetings, court appearances, teleconferences, and networking events.

  • Oversee new client and matter intake, ensuring timely and accurate completion of all documentation and system entries.

  • Maintain organized systems for both electronic and paper case files, including pleadings and case materials.

  • Serve as the first point of contact for clients, handling all communication with professionalism and discretion.

  • Monitor and process attorney expense reports, reimbursement requests, and credit card reconciliations.

  • Prepare, file, and serve court documents via mail, e-filing systems, and PACER CM/ECF, ensuring compliance with deadlines and court protocols.

  • Draft routine legal documents such as motions, certificates of service, entries of appearance, affidavits, and client correspondence.

  • Conduct thorough proofreading and final review of legal filings and submissions.

  • Maintain strict confidentiality of client and case information in accordance with firm policy and ethical standards.

  • Stay up to date on federal and state court procedures and local filing rules.

  • Ensure accurate and complete maintenance of litigation files and database entries.

  • Participate in preparing attorneys for court proceedings, depositions, and trials.

  • Create and organize briefing binders, casebooks, and hearing materials.

  • Assist in managing large litigation databases, including document production and tracking.

  • Support firm initiatives including the maintenance of attorney social media accounts (a plus).

  • Perform other duties as assigned.

Requirements:

  • Must have prior litigation experience; Title IX or higher education law experience is a plus.

  • Demonstrated ability to manage multiple priorities and meet tight deadlines.

  • Must be an extremely proactive communicator who ensures clarity and consistency in all interactions.

  • Strong client service mindset with experience using client relationship management (CRM) systems.

  • Excellent organizational skills, keen attention to detail, and the ability to work both independently and collaboratively.

  • Superior written and verbal communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), court e-filing systems, and legal research tools (Westlaw, LexisNexis, PACER).

  • Skilled in document formatting and Microsoft Word Styles functionality.

  • Experience handling complex filings in both federal and state court systems.

Qualifying Experience:

  • Bachelor’s degree or equivalent required; Paralegal certification preferred.

  • At least 3 years of experience as a legal administrative assistant or paralegal in a litigation-focused practice.

  • Proficient in handling electronic and paper-based filings, legal research, and legal software tools.

Physical Requirements and Work Environment:

  • Prolonged periods of sitting and computer use; some standing and walking.

  • Visual acuity and oral communication skills required.

  • Typical professional office environment with moderate noise levels.
