The role of the Scheduling Intake Assistant encompasses various responsibilities, including data entry of new requests from clients via email, telephone, and fax and timely communications with internal staff. Beyond these key tasks, the Scheduling Intake Assistant plays a crucial role in triaging incoming calls and emails with precision and providing valuable support to the Scheduling Coordinators in the execution of their daily duties.

Key Responsibilities & Accountabilities

  • Professionally answer and showcase prompt responsiveness by answering incoming phone calls within 3 rings, skillfully directing them to the appropriate person or department as required or handling personally
  • Display efficiency in responding to emails, within 1 hour, confirming incoming requests from clients and various stakeholders
  • Demonstrate proficiency in creating and managing tasks as needed, ensuring accuracy and completeness before concluding a service or case
  • Proactively request vital information from clients to ensure our system fields are fully completed
  • Providing valuable support to Scheduling Coordinators by managing their task list, which includes following up with clients for designations or instructions, obtaining appointments, and sending notices
  • Provide quality assurance support to the scheduling team through both front-end attention to detail and back-end QA tasks and emails

Daily Tasks

  • Diligently input appropriate follow-ups into the Viewpoint system, ensuring accurate and up-to-date task management
  • Play a pivotal role in maintaining an efficient communication channel by answering the general phone line during assigned times, as well as the department line, exhibiting a strong sense of teamwork
  • Demonstrate meticulous attention to detail in confirming requests, while proactively assisting Coordinators as needed for seamless scheduling operations
  • Be knowledgeable of scheduling-related tasks by efficiently handling requests, confirmations, or cancellations
  • Exemplify efficiency by responding to emails and requests within our company standard, ensuring timely and effective communication with internal and external stakeholders

Knowledge, Skills & Abilities

  • Demonstrated computer literacy with proficiency in Adobe Acrobat and Microsoft Office, ensuring adept utilization of essential software tools for efficient scheduling operations
  • Exemplify professionalism while handling phone communications, maintaining a courteous and respectful demeanor in all interactions
  • Showcase self-motivation and effective prioritization skills, ensuring the ability to manage and prioritize tasks in a dynamic scheduling environment
  • Proven capability to promote a positive team-oriented environment, fostering collaboration, communication, and a cohesive work atmosphere among team members
