Under the general direction of the Associate General Counsel, the Conflicts and Intake Assistant is responsible for maintaining and updating data, and generating reports, used for identifying conflicts of interest and other potential issues arising in the conflicts and business intake processes at a mid-sized law firm.
Responsibilities and Duties:
- Generate conflicts reports for new business and stock purchases for review by senior members of the department or other firm stakeholders
- Research and maintain corporate affiliations and family trees for conflicts checking purposes
- Maintain department documentation on conflicts, intake, and compliance-related matters including conflict checks, ethics screens, restricted securities, and related training materials.
- Coordinate review and cataloging of contracts received by the firm to ensure all deadlines are met, all stakeholders have commented, and executed copies are received
- Assist with data maintenance and knowledge management projects, including testing and implementation of conflicts and business intake software
- Review and enter billing rates for new clients and matters
- Handle client/matter opening and closing process electronically
- Collect and maintain file of signed engagement terms and waivers
- General administrative and other duties as assigned
Education, Experience, and Skills Required:
- Bachelors’ degree preferred; four years’ relevant work experience may be accepted in lieu of degree
- Must be flexible to work additional hours
- Strong organizational skills with meticulous attention to detail required
- Experience in supporting roles in law or professional services firms desired
- Excellent communication skills, both verbal and written
- Strong Microsoft Office skills – Word, Excel, PowerPoint, Outlook and various document management tools
- Ability to build rapport with attorneys and professional staff
- The ability to work independently but within a team environment

Position Details
This is a full-time, benefits eligible, non-exempt level position. Final rate of pay and title will be commensurate with the incumbent’s experience, with a targeted hiring range of $36.00 – $41.00 hourly (the upper range reserved for highly qualified applicants). This position is currently available in our DC or NY office locations only.
