FLSA Status: Non-Exempt
Reports To: Director of Community Services
Work Hours: Monday–Friday, 8:30 AM – 4:30 PM (37.5 hours/week; additional hours as needed)
Work Environment: Normal office environment
Pay Range: $25.42-$34.50
Job Summary:
The Fiscal Intermediary (FI) Coordinator supports individuals with developmental disabilities who self-direct their services. This role assists in person-centered planning and budget development while managing the financial, regulatory, and employer-related components of the Self-Directed Services plan. The FI Coordinator ensures compliance with Medicaid and OPWDD regulations and provides guidance to individuals, families, and support staff.
Qualifications:
- High School Diploma or GED required; Bachelor's degree preferred.
- 4 yrs experience with OPWDD services, regulations, funding sources, and/or Medicaid compliance req.
- Experience with electronic record keeping, accounting, and report analysis preferred.
- 1 year of supervisory experience preferred.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Must be able to read, write, and speak English fluently.
- Valid NYS driver's license that meets agency guidelines and access to reliable transportation.
- Collaborate with individuals and their Circle of Support to create and implement self-direction budgets that reflect their goals and preferences.
- Review budgets and related plans for accuracy and compliance. Submit to OPWDD for initial approval and ongoing updates or amendments.
- Process billing for services funded through Medicaid and OPWDD, ensuring documentation meets all requirements.
- Act as the employer of record supervisor for self-hired staff, processing payroll and reviewing required staff documentation for accuracy.
- Review Community Habilitation notes, EVV data, and monthly reports to ensure proper and timely completion.
- Train and support participants and families on topics such as staff supervision, work hour tracking, mileage reimbursement, and documentation.
- Monitor individual spending to ensure adherence to approved budgets and process reallocations or amendments as needed.
- Oversee housing subsidy applications and complete annual recertifications for assigned individuals.
- Attend Life Plan meetings and review Staff Action Plans (SAPs) for accuracy, alignment, and regulatory compliance.
