Position Summary
The Care Coordination Manager oversees all scheduling, insurance verification, and authorization operations for the pain management department. This leader is responsible for managing a team of Surgery Schedulers, Verification Specialists, and Authorization Specialists, ensuring accurate and timely scheduling of in-house procedures, hospital cases, ASC procedures, and same-day add-ons.
The manager ensures efficient workflow, accurate documentation, high-quality patient communication, and compliance with insurance and facility requirements. This role is critical in supporting seamless patient care, maximizing provider productivity, and maintaining financial and operational integrity.
Key Responsibilities

Supervise and support teams including:

Surgery Schedulers

Insurance Verification Specialists

Authorization Specialists

Provide training, coaching, performance evaluations, and ongoing development.

Establish clear performance metrics for scheduling accuracy, authorization turnaround time, and patient communication standards.

Monitor workloads and redistribute tasks to ensure timely completion of all scheduling and authorization needs.

Oversee all scheduling for:
-
In-house pain procedures (injections, RFAs, stim trials, nerve blocks, fluoroscopic procedures).

Hospital surgeries and interventional pain procedures requiring OR-level care.

ASC (Ambulatory Surgery Center) procedures.
-
Urgent same-day add-ons and schedule adjustments.

Ensure accurate communication between schedulers, hospitals, ASCs, anesthesia teams, and providers.

Develop and enforce standardized protocols for procedure scheduling, prep requirements, and documentation.

Oversee verification of insurance benefits for all scheduled procedures and appointments.

Manage and optimize authorization workflows to ensure approvals are obtained accurately and on time.

Ensure correct CPT/ICD-10 codes are used and communicated between teams.

Monitor authorization denials and collaborate with billing to address issues.

Implement quality checks to prevent scheduling patients without proper verification or authorization.
QualificationsEducation & Experience

Minimum 3–5 years of medical office experience in scheduling, authorizations, or related operations required.

Experience with pain management, surgical scheduling, or high-volume clinical operations highly desirable.

Working knowledge of CPT/ICD-10 coding, insurance requirements, and authorization workflows.

Strong understanding of Workers comp and No Fault
