Job Summary: Maintenance Service Coordinator
Location: Buffalo, NY (Onsite)
Job Type: Full-Time
About the Role
We are seeking a proactive and detail-oriented Maintenance Service Coordinator to support our property maintenance department. This position plays a vital role in ensuring smooth operations by coordinating maintenance work orders, scheduling vendors, managing inventory, and handling compliance documentation. The ideal candidate will be highly organized, tech-savvy, and experienced in maintenance coordination or property management.
Key Responsibilities

Receive, create, assign, and track maintenance work orders.

Review, prioritize, and follow up on open work orders to ensure timely completion.

Coordinate and schedule third-party vendors for repairs, inspections, and contracted services.

Maintain accurate records of maintenance inventory, including appliances, parts, and equipment.

Process purchase orders, track receipts, and reconcile invoices related to maintenance expenses.

Assist with compliance scheduling and documentation (e.g., boiler inspections, city inspections, Certificate of Occupancy renewals).

Generate and maintain detailed maintenance reports for supervisor and management review.

Provide administrative support to maintenance supervisors and property managers as needed.
Qualifications

Preferred Experience: 5+ years in maintenance coordination, facilities support, or property management.

Strong organizational, multitasking, and time management skills with keen attention to detail.

Proficiency with AppFolio or similar property management software; familiarity with Microsoft Office Suite or Google Suite preferred.

Effective written and verbal communication skills for interaction with staff, residents, and vendors.

Ability to work independently while contributing to a collaborative team environment.

Familiarity with general maintenance terminology, processes, and equipment.

Must be able to commute to Buffalo, NY 14204 (relocation prior to start preferred if not local).
