Legal Administrative Assistant
Location: On-site – Midtown Manhattan
Employment Type: Contract
Schedule: Monday–Friday, 35 hours per week
Pay Rate: $30+ per hour

Client: A Leading National Law Firm
Our client, a prestigious law firm with offices across the country, is seeking an experienced Legal Administrative Assistant to join their dynamic team. This role offers the opportunity to support a group of 7–10 attorneys, primarily partners, in a fast-paced and professional environment.
Key Responsibilities:
Administrative Support:
- Provide comprehensive administrative assistance to attorneys
- Manage calendars, contacts, and meeting schedules
- Coordinate room reservations for individual and group meetings
- Greet clients and arrange meetings, including catering and AV setup
- Track monthly expenses, prepare reports, and manage corporate card accounts
- Make domestic and international travel arrangements
- Respond promptly to email requests and other communications
Document Management:
- Proofread legal documents upon attorney request
- Perform photocopying, scanning, faxing, binding, and filing
- Create tables of contents (TOCs) and tables of authorities (TOAs)
- Draft legal correspondence and prepare electronic filings
- Create and maintain client files and binders
- Prepare new client/matter forms and engagement letters
Attorney Support:
- Track attorney bar admissions, court registrations, and CLE requirements
- Conduct minor non-billable research (e.g., court filings, case law, patents)
- Enter attorney hours into time management systems
- Manage contract attorney time entries as needed
- Review and edit monthly prebills; draft cover letters
- Handle occasional personal tasks for a partner
Team Collaboration:
- Provide backup support to other administrative staff and office personnel
- Assist with special projects and other duties as assigned
Education, Experience, and Skills Required:
- Associate’s degree preferred
- 3–5 years of general office experience required; prior law firm experience strongly preferred
- Excellent communication skills, both verbal and written
- General knowledge of office equipment and tools
- Strong Microsoft Office skills – Word, Excel, PowerPoint, Outlook, and document management systems
- Ability to build rapport with attorneys and professional staff
- Strong organizational skills with great attention to detail
- Ability to work independently while thriving in a team-oriented environment
