SUMMARY OF POSITION:
With direction from the Director of Operations, is responsible for project and/or task management, and staff delegation and scheduling. Routinely performs manual or technical skills as it pertains to maintain the buildings and property in quality condition. Repairs and conducts preventive and regular maintenance of buildings, furniture, fixtures, and equipment, and ensure department tasks are completed in compliance with grant, OSHA, or other ODM related policies.

Purpose of the Position:   
The Manager, Facilities is responsible for all maintenance and capital improvement activities. The Manager, Facilities is expected to lead, organize, improve, and standardize the quality of service and products used in the maintenance of the site. The Manager, Facilities provides expert technical direction to all maintenance staff. The individual in this position will standardize approaches for troubleshooting preventive maintenance routines and initiate regular technical training for maintenance staff. The Manager, Facilities is the leader and chief advocate for all maintenance staff.  
Responsibilities:  
<ul>
<li>Provide broad organizational technical assistance, as well as project direction for all Mechanical Systems, Electrical Systems, Plant Automation Systems, and Building HVAC Systems to ensure energy efficient building maintenance standards. </li>
<li>Supervise maintenance staff and implement ongoing training for maintenance staff.  </li>
<li>Complete staff performance evaluations. </li>
<li>Collaborate with the Human Capital Department to address recruitment and staff performance concerns.  </li>
<li>Assist in the development and implementation of all procured services and products. </li>
<li>Work closely with the Procurement Department to purchase commonly used products.  </li>
<li>Oversee the supervision of subcontracted service providers, track subcontractors, and product vendor authorizations and track invoices.  </li>
<li>Establish and implement inventory and contracting auditing protocol for all purchases.  </li>
<li>Document subcontractors’ work and monitor product quality. </li>
<li>Assist the AVP, Facilities Management and Regional Manager, Facilities with overseeing construction contracts and maintenance efforts related to Win insurance claims.  </li>

<li>Implement a training and certification process; establish measurable benchmarks for technical proficiency.  </li>
<li>Oversee the repairs and maintenance of all facility equipment including HVAC building management systems, plumbing, and elevator maintenance and repair. </li>
<li>Coordinate new construction and facility improvements. </li>
<li>Assist in the overall coordination, completion and signed maintenance documentation for all room inspections. </li>
<li>Ensure mechanical efficiency of all machinery, document all malfunctions, and ensure appropriate replacement or repair.  </li>
<li>Perform other related duties as needed.  </li>

Essential Functions:

Homes for the Homeless, Inc. (HFH) is seeking an experienced operations manager for an Administrator position at one of our family shelters located in the Bronx. Our facilities provide shelter and transitional housing assistance, as well as social services and educational supports, to families with children experiencing homelessness. The Administrator provides leadership to the administrative teams at the facility, as well as its directors (including early education/childcare, afterschool/recreation, social services/family services), maintenance/building operations, and security).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

<li>Responsible for the daily operations of the Family Shelter. </li>
<li>Provide direct supervision and management to the directors of the following departments: Social Services/Family Services; Childcare/Early Education; Recreation/Afterschool; Security; Maintenance/Building Operations; and Administration. </li>

<li>Uphold all DHS and HFH shelter policies and procedures and ensure all facility staff and clients comply as well.</li>
<li>Develop and maintain quality assurance procedures and practices for the facility, and ensure proper service provision. </li>
<li>Attend meetings, conferences and seminars as needed in order to remain knowledgeable in the field of homeless services. Stay up to date on current policies and proposed policies that may affect the operations of Tier II shelter facilities. </li>
<li>Recommend hiring and promotions, and make corrective and termination decisions in conformance with agency personnel policies.</li>
<li>Review purchasing, payroll and petty cash to ensure compliance with HFH procedures.</li>
<li>Serve as the primary liaison to local service providers and community leaders to ensure the facility maintains a good relationship with the community, as part of the organization’s Good Neighbor plan.</li>

QUALIFICATIONS:

Director of Building Maintenance (Union Hall)

PRIMARY FUNCTION/PURPOSE:
Under the supervision of the Program Director, the Director of Building Maintenance oversees all maintenance, janitorial, and capital improvement projects for our Union Hall location in Queens, NY. This includes the care, cleaning, and inspection of public spaces within the development such as buildings, grounds, and garbage disposal areas, in accordance with established procedures. This individual will ensure all building systems are maintained in working order, and recruit/interview for vacancies as coordinated by the Human Resources Department. Responsibilities include supervising, scheduling, and assigning duties to the maintenance and janitorial staff, as well as ensuring the building meets all building compliance requirements as defined by DOB, HPD, FDNY and other government authorities. This person must also be on-call for emergencies during off hours and report to the property.

MINIMUM QUALIFICATIONS:

<li>Respond to all client service requests in a timely manner and maintain accurate records of the work performed</li>
<li>Ensure staff maintain professional boundaries and respectful communication with tenants</li>
<li>Listen to client feedback and respond promptly and respectfully to their concerns</li>
<li>Treat all clients equally and without bias, regardless of personal or cultural differences</li>
<li>Provide proper notice before entering a client’s unit regarding tenant privacy</li>
<li>Inform clients of utility and elevator service interruptions</li>
</ul>
OTHER REQUIREMENTS (including Physical Demands):

<li>May be required to work long hours and a varied schedule</li>
<li>Traveling throughout various locations in the New York City area</li>
<li>Lifting and moving objects weighing up to 30 pounds several times a week</li>
