Job Description
An investment advisory firm in Manhattan is seeking a Personal Assistant/Executive Assistant to support a C-Suite executive. The ideal candidate must be comfortable with a 50/50 split of executive and personal assistant responsibilities.
Schedule: Fully Onsite
Salary: $110-130K plus bonus
Hours: 8-5:30
Responsibilities:
- Manage calendars (both personal and professional), ensuring efficient scheduling and prioritization of appointments
- Act as the primary contact for the executive, managing communications and inquiries
- Coordinate and oversee travel arrangements, accommodations, and itineraries
- Handle daily administrative tasks such as booking reservations and personal errands
- Assist with personal tasks, including family-related matters and scheduling
- Process expenses and ensure timely reimbursements
- Maintain and update databases with accuracy
- Collaborate across teams to support initiatives
- Ensure smooth day to day operations for executive
- Assist with small remote tasks as needed after hours (e.g., making last-minute travel adjustments, handling dinner reservations)
Requirements:
- 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role, preferably in financial services
- Excellent communication skills, both written and verbal, with the ability to interact with high-level executives
- Proven ability to handle confidential and sensitive information with discretion
- Strong organizational skills and the ability to manage multiple tasks in a fast-paced, dynamic environment
- Must be adaptable, with the ability to work under pressure and juggle competing priorities
- Ability to work effectively as part of a team and independently
- Strong Microsoft Excel, Word and database technical abilities
