An investment firm in Manhattan is seeking an Executive Assistant/Personal Assistant to provide administrative support to a team of C-Suite executives. Support executives in a dynamic organization, managing complex calendars and travel arrangements. Enhance organizational efficiency with your administrative expertise and attention to detail.
Salary: 120k - 140k base plus bonus
Hybrid schedule: 4 days onsite, 1 day remote
Hours: 9am - 6pm
Responsibilities:
- Support senior executives in a dynamic investment firm, ensuring seamless operations and effective communication.
- Manage complex calendars, travel arrangements, and confidential information with precision and discretion.
- Collaborate with internal teams and external stakeholders to coordinate meetings and events.
- Prepare and edit professional correspondence, reports, and presentations for executive use.
- Conduct research and compile data to support strategic decision-making processes.
- Work in a fast-paced environment, demonstrating adaptability and problem-solving skills.
- Contribute to the firm's success by ensuring efficient administrative support to executives.
- Manage executive calendars, scheduling meetings, and resolving conflicts to optimize time management.
- Coordinate travel arrangements, including booking flights, accommodations, and handling disruptions.
- Prepare and review expense reports, ensuring compliance with company policies.
- Draft and proofread professional documents, maintaining high standards of accuracy and clarity.
- Facilitate communication between executives and internal/external stakeholders.
- Assist in planning and executing business dinners and events.
- Support project coordination by tracking progress and following up on action items.
- Handle sensitive information with confidentiality and professionalism.
Requirements:
- Bachelor’s degree strongly preferred, with proven experience as an executive assistant.
- Minimum of 3 years of experience required; 7 years preferred.
- Proficiency in Microsoft Office Suite and Outlook Calendar management.
- Strong organizational skills with the ability to prioritize and multitask effectively.
- Excellent written and verbal communication abilities.
- Experience in financial services, investment banking, or similar industries preferred.
- Ability to work independently and collaboratively in a fast-paced environment.
- Polished and professional demeanor with exceptional attention to detail.
