Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support two experienced Financial Advisors, each with over 25 years of industry experience. In this dual role, you will provide direct administrative and client service support, ensuring smooth day-to-day operations and a high-quality and personalized client experience.
The ideal candidate is extremely detail-oriented, dependable, and comfortable interacting with clients. This is a role that blends executive support with client-facing responsibilities.
Key Responsibilities:
- Answer phone calls, direct inquiries appropriately, and respond to client requests with professionalism and care.
- Assist in managing the advisors’ schedules, including booking meetings, arraigning client calls, and coordinating calendars.
- Serve as a liaison between advisors and clients—maintaining strong, client-focused timely communication and follow-up.
- Prepare and maintain client files, reports, and presentations using the company CRM and reporting tools.
- Handle general office administrative tasks: copying, faxing, filing, data entry, and correspondence.
- Support the planning and execution of client events (meetings, business luncheons, client dinners).
- Maintain office organization and assist with daily workflow tasks as needed.
Qualifications:
- High school diploma or equivalent required; post-secondary education a plus.
- 2+ years of experience in an executive assistant, client service, or administrative support role.
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word).
- Excellent communication and interpersonal skills.
- Strong organizational skills with attention to detail.
- Ability to problem-solve and prioritize effectively.
- Self-motivated and able to work independently as well as part of a team.
