Job Summary:
The Rental Agent, Production Supplies is responsible for maintaining and strengthening existing client relationships while also expanding Quixote's client base through strategic sales efforts. The Rental Agent, Production Supplies must be well-informed and knowledgeable of all opportunities in any given market and have a thorough knowledge of all pertinent information related to our business and the clients we service. The ideal candidate will demonstrate initiative and problem-solving skills in an environment that demands exceptional performance.
What You’ll Do:
- Ensure all incoming calls and emails from prospective clients are answered and information provided is accurate and thorough.
- Generate quotes, schedule deliveries, process orders & generate accounts in Rental Software, communicate with floor staff specifics of each order.
- Maintain and update client information in the internal CRM platform and ensure all sales efforts and interactions are logged accordingly
- Recommend additional equipment and/or expendables to enhance the client experience and expand Quixote's brand. Not just to upsell, but to ensure they have everything they need for their shoot.
- Maximize utilization of inventory on a day-to-day basis
- Work with management and service teams to maintain our industry-leading standard in all aspects of the PS department.
- Maintain rental schedule based on equipment availability and client needs (i.e. check availability of items before promising them to clients).
- Obtain, save, manage and update necessary account documents including, but not limited to: insurance certificates, purchases orders, rental agreements, credit card authorizations and rental deposits.
- Assist billing department in tracking all paperwork for closing orders.
- Possess and exhibit a thorough understanding of all aspects of the internal support platform, Rental Works, Fleet Master (as well as other support platforms), as it pertains to: unit availability, reservation creation, data collection and entry, miscellaneous/additional charges procedures.
- All other duties as assigned by manager.
What You’ll Need:
- 3 + years of experience in an administrative, customer service, rental coordination, or sales support environment
- Experience in a production rental, studio, or entertainment operations environment preferred.
- Strong attention to detail with the ability to execute tasks accurately under deadline pressure.
- Ability to anticipate operational needs and adapt in a high-volume, fast-paced setting.
- A true desire to meet and exceed the expectations of internal and external clients in a fast-paced environment.
- Client-focused mindset with strong interpersonal and communication skills.
- Demonstrated organizational and problem-solving abilities.
- Working knowledge of rental or CRM software systems preferred.
- Ability to manage multiple bookings and priorities simultaneously

Compensation:
Pursuant to state and local pay disclosure requirements, the pay range for this role is $25.00 - $32.00 per hour.
The salary offered may vary depending on multiple individualized factors including but not limited to market location, job-related knowledge, education/training, certifications, key skills, experience, external market and internal value, including seniority and merit systems, and internal pay alignment. In compliance with the New York Law, a potential new employee’s salary history will not be used in compensation decisions.
Quixote Studios reasonably and in good faith expects to pay for the position within the salary range listed, taking into account the wide variety of factors listed above
