Job DescriptionWe are looking for a highly organized and detail-oriented Executive Assistant to provide exceptional support to senior leadership in a fast-paced environment. This long-term contract position is based in New York, New York, and offers the opportunity to work closely with executives to streamline operations and manage critical tasks efficiently.
Responsibilities:
• Manage executive calendars, including scheduling meetings, appointments, and events to ensure optimal time utilization.
• Coordinate complex travel arrangements, including booking flights, accommodations, and transportation.
• Prepare itineraries and ensure all travel logistics align with executive preferences and schedules.
• Organize and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items.
• Act as a point of contact between executives and internal or external stakeholders, ensuring effective communication.
• Handle confidential information with discretion and professionalism.
• Monitor and prioritize incoming correspondence, ensuring timely responses and proper delegation.
• Assist with administrative tasks such as expense reporting, document preparation, and presentation creation.
• Proactively identify opportunities to improve workflow and administrative processes.
• Ensure executives are equipped with all necessary materials and information for meetings and events.• Proven experience as an Executive Assistant or in a similar administrative role.
• Strong proficiency in calendar management and scheduling tools.
• Demonstrated expertise in coordinating travel arrangements, including international travel.
• Excellent organizational and multitasking abilities.
• Exceptional written and verbal communication skills.
• High level of discretion and ability to handle sensitive information.
• Proficiency with Microsoft Office Suite and other relevant software tools.
• Ability to work independently and adapt to changing priorities in a dynamic environment.
