Job Title: Coordinator, Operations (Jobs & Programs)

Position Overview: The operations coordinator, jobs and programs is responsible for providing operational support to the local jobs and programs teams. They work to ensure that all contractual agreements for the local jobs program are properly executed, tracked, and reported with the funding agencies. They serve as the point of contact for all contractors, manage all timelines for reporting to contractors with the employment consultants in the local program, ensure program operation compliance. They work closely with Jobs, Transitions and Program staff and support local program advancement by managing the adult friendship program, playing a key role in the planning and execution of the annual Leadership Conference, and ensuring accurate programs data.
Job Qualifications
- Bachelor’s degree or minimum 4 years relevant experience
- Strong project/time management skills - including planning, analysis, attention to detail, and problem solving - and willingness to multitask
- Strong presentation, facilitation, and written communication skills
- Proficiency with Microsoft Office, especially Excel, and basic understanding of accounting principals
- Experience with Salesforce is not a requirement but highly desirable
- Collaborate effectively with team members, provide clear and consistent communication.
- Initiative, dependability, drive for results, and self-assessment skills
- Must be adaptable and able to develop and balance multiple relationships, and get results from a variety of people quickly and effectively
- Must be comfortable engaging with people with intellectual and developmental disabilities (IDD) and working with them in a supporting role
- Must be comfortable with frequent local travel, use personal cell phone, and work evenings and weekends as necessary in order to accomplish job responsibilities
- Strong initiative, drive for results, and self-assessment skills
- Ability to work independently and as part of a team
- Employment may be contingent upon accreditation by governing state agency
- Access to an automobile with applicable insurance
Job Duties include, but are not limited to:
Operations
- Oversees contractual agreements with APD and/or Vocational Rehabilitation, managing training, file organization, and billing timelines, while collaborating with the supervisor to ensure accurate and timely completion of all billing and reporting to optimize funding
- Serves as the primary contact and communication point with all contractors
- Tracks and reviews authorizations and documentation for program eligibility; assess initial fit and follow up on missing or incomplete documentation
- Executes timely follow-ups (via email and phone) regarding pending authorizations, incorrect portal information, and unpaid invoices
- Provides BBI grants team and state development staff with updated and accurate information for use in proposals and reports, as well as updates regarding the status of outgoing proposals and incoming award notifications
- May assist in staff travel booking through the corporate travel agent for work-related trips
- Collects personnel activity reports from all state staff and submits to BBI contracts manager
- Maintains online databases, including Vocational Rehab billing system, SetWorks, and Salesforce (Best Buddies Online)
- Tracks, processes, and provides coding for accounts payable and accounts receivable transactions
- Monitors financial benchmarks with programs staff to ensure financial stability of program, and assists with monthly financial projections
- Supports Jobs team with CARF accreditation operations and/or any external (VR) or internal (Setworks/Salesforce) audits
- Tracks and maintains records of annual training requirements for all staff statewide.
Programs
- Conducts reviews of case files for statewide jobs staff to ensure completion
- Develops relationships in the community and government agencies to identify potential participants and obtain participant referrals
- Manages applications for the adult friendship program statewide, assisting with application intake, screening, and follow-up, while regularly communicating with statewide Programs staff
- Reviews e-Buddies reports and provides information to State/Area Director(s)
- Monitors the Best Buddies Online system and provides updates to supervisors and program managers as appropriate
- Communicates between programs, development, and operations staff to ensure that programmatic goals are understood and met, and all relevant staff are aware of required programmatic outcomes for all government and foundation contracts
- Assists with uploading paper membership applications into Salesforce throughout the school year
- Receives and processes information requests from state website, social media, and email to ensure they receive appropriate and timely responses
- Manages all operations related to the annual Best Buddies Leadership Conference: tracks registrations and accommodations, manages travel for all program participants and staff, orders necessary supplies in a timely manner, organizes hourly staff timecards and roles, and assists with on-the-ground operations for the entirety of the conference
- Attends trainings as needed to maintain required certifications per state regulating agency
Fund Development and Marketing
- Works with supervisor(s) on fundraising events as directed
- Provides information regarding potential donors/supporters to supervisor(s) as appropriate
- Manages communications for local jobs program, including social media
- Manages story collection and uploading to state website
- Maintains master file for Advisory Board, Rose Society, and other major supporters for use by staff and as attachments to grant and contract proposals
- When appropriate, collects and submits foundation proposals with attachments
Human Resources
- Assists with hiring/recruitment of Jobs and Programs staff, including posting positions, screening resumes, and conducting interviews
- Assists with training and onboarding of all staff in basic operations as directed.
