The 61st Street Service Corporation, provides administrative and clinical support staff for ColumbiaDoctors. This position will support ColumbiaDoctors, one of the largest multispecialty practices in the Northeast. ColumbiaDoctors’ practices comprise an experienced group of more than 2,800 physicians, surgeons, dentists, and nurses, offering more than 240 specialties and subspecialties.

Position Summary:

We are seeking a detail-oriented and customer-focused HR Onboarding Assistant to join our team. This role is responsible for facilitating the onboarding process for new hires and delivering exceptional customer service to both internal and external clients. The ideal candidate will have a strong understanding of HR practices and procedures, along with demonstrated proficiency in Microsoft Office—especially Excel.

Responsibilities:

New Hire Procedure (Primary):

  • Coordinate all aspects of the New Hire Onboarding Process.
  • Ensure timely completion of new hire documentation, maintaining the 48-hour turnaround standard for all requests.
  • Compile and maintain the New Hire Orientation List.
  • Coordinate background checks and provide status updates to hiring departments.
  • Maintain and submit billing compliance data and “persona non grata” information to Columbia University as required.
  • Confirm orientation dates with departments and new hires.
  • Greet new hires and facilitate the New Hire Orientation program.
  • Administer and process pre-employment drug screenings and testing.
  • Manage training assignments, generate offer letters, and handle all other onboarding-related tasks.
  • Track and log state-mandated trainings for new hires, including Diversity and Sexual Harassment compliance courses.

Human Resources Office Operations:

  • Review, open, and distribute daily mail and faxes based on department rotation.
  • Create and maintain basic Excel reports as needed.
  • Scan, upload, and maintain personnel documents such as new hire forms, terminations, and payroll-related materials in the Records Management System.
  • Set up conference rooms for orientation sessions according to a rotating schedule.
  • Serve as backup for posting job openings on the organization’s careers website.
  • Coordinate the Years of Service Recognition Program with designated vendors.
  • Schedule new hires for required internal training sessions.

Other Duties:

  • Answer main HR office phone line and take accurate messages.
  • Assist with department-wide special projects and initiatives as assigned.
  • Perform additional related duties as needed.

Qualifications

Minimum Education:

  • High School Diploma required
  • College degree preferred

Minimum Experience:

  • Experience working in a professional office environment

Preferred Experience:

  • At least 1 year as a receptionist or intern in a Human Resources department, especially in a high call volume environment

Skills:

  • Strong working knowledge of Microsoft Office, particularly Word and Excel
  • Excellent verbal communication and interpersonal skills
  • Clear and professional speaking voice
  • Ability to compose routine correspondence independently
  • Exceptional organizational and time-management skills
  • Comfortable with public speaking and training facilitation

Work Schedule & Remote Work

  • Hybrid work model: Eligible for one remote day per week after 90 days of employment
