Job DescriptionWe are looking for a detail-oriented and approachable Receptionist to join our team in New York, New York. In this role, you will be the first point of contact for visitors and callers, ensuring smooth communication and a welcoming environment. This is a long-term contract position, ideal for someone who thrives in a dynamic and client-facing setting.
Responsibilities:
• Greet visitors and guests courteously, ensuring they are directed to the appropriate person or department.
• Manage a multi-line phone system, answering inbound calls promptly and efficiently.
• Handle switchboard operations for 1 to 10 phone lines, ensuring seamless call routing.
• Maintain a tidy and organized reception area to create a positive first impression.
• Provide support with administrative tasks such as scheduling and data entry as needed.
• Respond to inquiries and provide accurate information to clients and colleagues.
• Coordinate with internal teams to facilitate smooth communication and workflow.
• Monitor and manage appointments for meeting rooms or other shared spaces.
• Ensure confidentiality and discretion in handling sensitive information.• At least 2 years of experience as a receptionist or in a similar customer-facing role.
• Proficiency with multi-line phone systems and switchboard operations.
• Strong communication skills, both verbal and written, with a friendly demeanor.
• Ability to handle multiple tasks simultaneously in a fast-paced environment.
• Excellent organizational skills and attention to detail.
• Familiarity with basic office software, including email and scheduling tools.
• Reliable and punctual, with a strong work ethic.
• Flexibility to work part-time hours as required.
