THE ROLE
As an Executive Assistant you will specialize in client service and support for our financial services practice
with a focus on developing, fostering, and nurturing client relationships. As our Executive Assistant you will
also be responsible for assisting the team to run an efficient, effective and organized office. Additionally, you
will be a liaison between our firm and the home office as well as other wealth advisors and their teams.
THINGS YOU WILL DO
Client Service Plan: Manage and execute client service plan which includes scheduling review meetings,
client appreciation, etc.
Client Services: Provide in-depth service to existing clients, help prepare administratively for client review
meetings, manage age change and birthday lists
Maintaining calendar: Reach out to prospective and existing clients to schedule meetings
Client Files and Databases: Create and maintain digital records, including contact information, case notes
and correspondence while maintaining compliance requirements
Underwriting: Serve as a backup to insurance operations and prepare, submit and monitor application
process for life, disability and long-term care insurance
Office Management: Maintain office equipment and supplies, maintain current licensing requirements
and complete other administrative duties
Manage pipeline: Track and expedite process of closing potential business
Manage email inbox and respond to clients and team members as needs arise
Assist with travel, conferences, and event planning

Excellent project management skills, including ability to oversee execution of day-to-day and long-term
strategies and initiatives
Willingness to obtain insurance license and investment registration for growth opportunities in the firm
