Job Overview of Administrative Assistant-Bilingual Spanish
The Administrative Assistant provides office and administrative support to specific programs within the organization. The Administrative Assistant is responsible for general medical office duties, including but not limited to scheduling, coordinating office supplies, conducting and answering phone calls, typing and data entry tasks, assisting in the overall management of day to day operations for the program, as well as special projects.
Essential Duties of Administrative Assistant-Bilingual Spanish
Key duties of this position include, but are not limited to, the following:
- Completes administrative functions accurately and in a timely fashion
- Enters program forms accurately into databases
- Completes clerical task such as typing, data entry, filing, faxing and copying
- Signs-off on all data entries and returns completed documents to Program Supervisor
- Assists in running and compiling data reports from database
- Assembles case records and provides follow up phone calls to families as instructed
- Monitors ADP (HR system) for accuracy
- Manages purchasing function via entering orders into purchasing system
- Manages calendars and schedules for meetings
- Assist in the coordination of trainings and programmatic events
Essential Qualifications of Administrative Assistant Bilingual Spanish
Key qualifications include:
- High School Diploma required
- Minimum of 3 years’ experience as an Administrative Assistant
- Proficient computer skills with ability to learn new systems and software applications
- Excellent written and oral communication skills in both English and Spanish required
- Ability to adapt and multitask within a fast paced environment
