Executive Assistant

Midwest Holding LLC, a rapidly growing financial services holding company, is seeking a Executive Assistant to join the Administration team. We operate as a modern technology-enabled, insurance holding company focused on long-term growth, and to advance the insurance value chain through products and services that focus on reduced costs and increased customer value.


Summary/Objective

The Executive Assistant plays a critical role in providing high-level administrative support to senior leadership, including the CEO, President, and other executives. This position ensures the efficient operation of executive offices through proactive calendar management, meeting coordination, travel planning, and handling of sensitive information. The Executive Assistant is a trusted partner who exercises discretion, anticipates needs, and helps streamline executive priorities while supporting strategic business initiatives


Essential Functions

  • Provide direct administrative support to executive leadership, including managing complex calendars, scheduling high-level meetings, coordinating conference calls and assisting personal appointments while managing work calendar commitments.
  • Track deadlines and deliverables to ensure timely completion.
  • Arrange and oversee travel logistics for executives, including flights, accommodations, and ground transportation.
  • Draft, proofread, and prepare professional correspondence, reports, presentations, and other executive-level documents.
  • Act as a liaison between executives and internal/external stakeholders, ensuring clear and timely communication.
  • Prepare agendas, take detailed meeting notes, and track action items for follow-up.
  • Maintain highly confidential information with discretion and professionalism.
  • Coordinate and support board meetings and committee meetings, including material preparation and distribution.
  • Assist in managing special projects and initiatives as directed by executives.
  • Monitor deadlines, follow up on pending items, and help ensure executive priorities are met.
  • Acts as a backup for Board of Directors and Committee meetings in taking minutes for official record keeping.

Required Education and Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum 3–5 years of experience supporting senior executives in an administrative or executive assistant role.
  • Supporting a C-level executive is highly desirable.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with travel booking platforms, expense management, and project management tools.


Supervisory Responsibility

This position would have no direct supervisor responsibilities


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands

While performing the duties of this job, the employee is regularly required to talk and communicate with others. This may be over the phone, in person, or through email and messaging. The employee must be able to hear customers and agents over the phone. The employee is frequently required to sit, stand, walk, and use their hands and fingers to work with the computer, phones, filing cabinets, paperwork, etc.


Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. CT. Additional hours as needed to complete tasks and meet deadlines.


Travel

Occasional travel is expected for this position.


Work Authorization/Security Clearance

Must be eligible to work in the United States.
