The Town of Sullivan is presently seeking an experienced Accounts Payable Administrator to join their Chittenango, NY-based Accounting Team. The Accounts Payable Administrator will be responsible for performing billing, insurance coordination, payroll support, and financial recordkeeping tasks in support of the Town of Sullivan’s financial operations. The work is performed under the general supervision of the Town Comptroller or Assistant Comptroller.

TYPICAL WORK ACTIVITIES:

  • Prepares and issues bills for services rendered by the Town
  • Posts payments and maintain accurate billing records
  • Assists residents and vendors with billing inquiries and resolves discrepancies.
  • Prepares and processes adjustments, refunds, and account corrections.
  • Maintains and updates customer account information.
  • Assists in preparing reports related to billing and collections.
  • Coordinates with other departments to ensure accurate service data for billing.
  • Scans and preserves billing records and correspondence.
  • Assists with bank deposits and reconciliation of billing receipts.
  • Performs data entry and utilizes financial software for billing functions.
  • Responsible for bi-weekly payroll processing and recordkeeping.
  • Coordinates insurance documentation and maintains insurance-related records.
  • Communicates with insurance providers and assists with claims and renewals.
  • Other duties as assigned.

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:

Good knowledge of billing procedures, payroll processes, and financial recordkeeping practices; working knowledge of municipal billing systems and insurance coordination; ability to maintain accurate and organized records; ability to communicate effectively with the public and coworkers; proficiency in Microsoft Office applications, especially Excel and Word; attention to detail; integrity; dependability; and a high level of ethics.

MINIMUM QUALIFICATIONS:

Either:

Associate’s Degree in accounting, business administration, or a closely related field required; bachelor’s degree preferred

OR

An equivalent combination of training and experience
