General Purpose:
The Administrative Engagement Coordinator supports the Clubhouse by providing administrative services, fostering community engagement, and enhancing clubhouse operations. The role involves assisting with case management, overseeing administrative functions, and supporting internal and external communication. Working in partnership with members, the coordinator helps to ensure efficient day-to-day operations and positive member engagement within a Clubhouse International accredited setting.
Essential Functions:
- Member Engagement: Build relationships with clubhouse members, encouraging participation and engagement in all clubhouse activities. Support members in their pursuits, including employment, education, housing, and social involvement, while fostering an inclusive, empowering community environment.
- Administrative Coordination: Manage documentation, maintain accurate records in electronic health systems, and assist members with social service needs, including financial, medical, and housing.
- Event and Program Management: Organize and coordinate events, workshops, and social activities, ensuring effective communication and engagement with members.
- Internal and External Communication: Create and distribute newsletters, manage social media, and develop promotional materials using Canva, Microsoft Office Suite, and Adobe software to enhance member and community engagement.
- Case Management and Outreach: Provide case management, maintain a member caseload, and conduct outreach for consistent member engagement, including crisis intervention and prevention as needed.
- Clubhouse Environment and Unit Responsibilities: Oversee assigned clubhouse units, ensuring smooth operations and member engagement in daily tasks. This includes meal planning, food shopping, appliance maintenance, computer assistance, and newsletter creation.
- Community Meetings and Policies: Facilitate community meetings, contribute to policy development, and support the overall mission of the clubhouse by working collaboratively with staff and members.
- Develop Community Partnerships: Identify and cultivate relationships with local organizations and community resources to acquire referrals while expanding the support network available to clubhouse members. Coordinate with partners to secure resources, and enhance engagement opportunities. Represent Lantern House in community meetings and events, actively promoting the clubhouse's mission. Regularly communicate with community partners to maintain strong relationships, assess new opportunities, and align mutual goals that benefit clubhouse members and foster community integration.
Other regular responsibilities:
- Staff use the Clubhouse environment to develop relationships whereby members experience themselves as valued participants in the Clubhouse community
- Engage members and work alongside members in carrying out these responsibilities.
- Engage members through encouragement, appreciation for their help, and a focus on abilities, while allowing for and accepting limitations.
- Actively promote the development of members’ aspirations regarding Clubhouse participation, employment, education, housing, and social involvements.
- Respond to needs and problems of members with practical guidance and advice geared toward realizing aspirations, cooperation with others, and community integration.
- Manage and participate with members in Clubhouse programs providing opportunities for social and recreational activities.
- Engage cooperatively with other staff and members in developing Clubhouse policies and in advancing the purposes and welfare of the Clubhouse as a whole.
- Assume responsibility for Clubhouse Units while developing new projects and methods to enhance unit functioning. Oversee the daily operations and management of the assigned unit including activities and goals
- Manages all aspects of the assigned unit; including but not limited to, assisting members with meal planning and meal preparation, food shopping, food ordering and overseeing appliance maintenance or repairs, assisting members with clubhouse maintenance and cleaning, assistance with computer skills and monthly newsletter, and other tasks as assigned
- Provides case management; maintain caseload, provides outreach to members, including crisis intervention/prevention
- Design and facilitates various clubhouse activities in partnership with members

Qualifications/Basic Job Requirements:
- Associates Degree or High school Diploma with 2 years' experience in mental health field Bachelor’s Degree preferred
- Non-clinical community approach; Prior non-clinical experience working with persons with mental illness is a preferred but not required
- Highly developed communication and organizational skills;
- Must be proficient in Microsoft Word, Excel, Google Sheets, Google Docs, Slack
- Must be able to manage multiple fast pace environment, with strong follow-through
- Be flexible in order to complete the necessary work of the Clubhouse including coverage of holidays, weekends, social activities and other special events
- Must provide absence coverage for employment unit when needed.
Scope of Responsibility & Positions Supervised:
- Responsible for the financial operations of the assigned unit under the direction of the Program Director
- May supervise volunteers
Special Working Conditions:
• Some Saturdays work required
• Program is opened on all holidays
• Three weeks clubhouse training at certified training base outside of New York State
