This role is on-site will begin as a temporary assignment with a possibility of a permanent role.
We are currently seeking a Docket Administrator/Legal Assistant to assist in maintaining the Firm’s master litigation calendar and calculating, recording, and delivering deadlines to attorneys and staff pursuant to applicable rules and practices.
Essential Duties and Responsibilities:
- Training and use of CompuLaw’s Vision SQL or other docketing software employed by the Firm.
- Receive, review, interpret, and sort incoming communications (correspondence, court orders, emails, briefs, pleadings, etc.) to determine deadlines and events that need to be docketed, and enter those deadlines into the docket control software.
- When necessary, conduct research of court rules for appropriate calendaring. This will include researching websites for state and federal courts, as well as applicable administrative agencies and other judicial and quasi-judicial bodies.
- Maintain up-to-date computer database of calendar entries (data entry).
- Run weekly docket and reminder reports and distribute to attorneys and staff.
- Act as a resource for attorneys and staff regarding court rules as they relate to calendaring and date calculations.
- Communicate with the Docket Manager with regard to docketing issues, attorney and staff issues, the need for court rules not available through CompuLaw and development of those rules, when necessary.
- Accountability and ownership of deadlines and events and seeing to it that attorneys and staff are reminded of those deadlines and events so that they occur on a timely basis. Keep track of met deadlines and completed events through two-way communications with attorneys, paralegals and practice assistants.
- Maintain database by reviewing and confirming accuracy of all timekeeper and client/matter information.
- Utilize timelines and codes to trigger required limitations for trial, motions, discovery responses, etc. as necessary; review and analyze reports for accuracy based on knowledge of specific code sections and local rules; distribute reports to attorneys and practice assistants as necessary.
- Respond to inquiries by attorneys and staff regarding court rules, deadlines, or any information generated by the docketing system.
- Back up other Docket Administrators, as well as the Docket Manager when needed.
- Other duties as assigned.
Required Qualifications:
- Thorough understanding of legal terms, pleadings and court structure, including state courts, federal courts, appellate courts, Trademark Trial and Appeal Board, and various other jurisdictions and administrative bodies. Ability to accurately apply court rules and orders to documents and calculate calendar dates.
- Two (2) years’ experience in law office calendaring.
- Ability to use basic office equipment and current versions of Word and Excel.
- Ability to use or learn to use Compulaw calendar software and ECFx.
- Type accurately for software use and data entry.
- Effective written and oral communication skills.
- Ability to prioritize workload.
- Ability to work at a fast pace while maintaining accuracy.
- Good basic math skills.
- Superior follow-through and attention to detail skills are a must.
- Customer service driven to interact with all levels of staff.
- Ability to work independently with minimal supervision.
- May occasionally be required to work overtime.
