Job Description
Job DescriptionWe’re looking for an Executive Assistant!
Worth Rises is a non-profit advocacy organization dedicated to dismantling the prison industry and ending the exploitation of those it touches. Partnering with directly impacted people, we work to expose the commercialization of the criminal legal system and advocate and organize to protect the economic resources of affected communities and strip the industry of its power. Through our work, we strive to pave a road toward a safe and just world free of police and prisons.
We seek an experienced, reliable, and detail-oriented Executive Assistant (exempt) based in New York City to provide dedicated, high-level support to our Executive Director (ED) as well as general administrative support for the organization and staff. They should be highly organized, proactive, and able to manage multiple priorities with efficiency and discretion. The Executive Assistant will be responsible for managing communications, scheduling, and travel for the Executive Director, as well as overseeing select administrative functions critical to day-to-day operations such as office management.
However, this is more than a support role — it’s a mission-critical partnership that safeguards the ED’s time, energy, and focus so she can lead effectively. We are looking for someone who thrives in service of leadership, takes pride in excellence, and operates with grace under pressure. Accordingly, this role is right for someone who views the Executive Assistant role as a craft and career. They thrive behind the scenes and have the professional intuition and polished composure to navigate everything from board meetings to last-minute travel disruptions. They will join a team that values integrity, excellence, and care — and model those commitments in every interaction on the ED’s behalf.
This is a hybrid position that requires regular in-person availability, including 2-3 days per week at our New York City office as well as trips to our mailbox, storage unit, post office, and other locations across the city for light errands and logistical needs. The Executive Assistant may be required to travel with the ED for overnight trips to provide support occasionally.
Major Responsibilities
Executive Support
- Serve as the first point of contact for all communications to the ED, managing her phone line, email inbox, and physical mail, triaging requests for prioritization, drafting responses as appropriate, and communicating with internal and external stakeholders in a tone and on a timeline that reflects her intentions, voice, and values.
- Manage the ED’s calendar, scheduling meetings with internal and external stakeholders in a manner that protects work blocks and the ED’s time, energy, and cognitive load. Attend select internal and external meetings, including the quarterly board meeting, to manage logistics, take notes, capture action items, and ensure timely follow-through on next steps.
- Coordinate all aspects of the ED’s travel (i.e. air and ground transportation, accommodations, meals) and provide real-time support during travel days, including unexpected travel changes. Occasionally travel with the ED to provide on-the-ground support.
- Prepare a daily brief outlining the ED’s day, including meetings, meeting attendees, material reviews, upcoming deadlines, and other logistics. Conduct background research on meeting and conference attendees, ensuring the ED is fully briefed before all engagements.
- Develop, operationalize, and refine systems that reduce friction in the ED’s workflow and include support with document preparation and follow-ups. Particularly, prepare and format decks, documents, and briefs to a high level of visual polish and clarity, ensuring adherence to brand guidelines. Conduct initial review of materials sent internally to the ED for presentation.
- Track expenses, processing receipts and reimbursements, on behalf of the ED.
- Offer concierge support as needed (e.g. making appointments, reservations, bookings, and addressing other miscellaneous needs) to unlock the ED’s time to manage executive priorities.
Internal Operations
- Develop, operationalize, and refine processes related to digital filing and knowledge management that align with organization’s policies and standards for the team.
- Lead long-term logistical projects such as conference coordination, team retreats, or speaking engagements from inception to execution. Support logistics for team events, strategy sessions, direct actions, retreats, etc.
- Assist with select data entry and longer-term administrative projects.
- Interface with other team members to help ensure organizational priorities align with the ED’s capacity and bandwidth.
Office Management
- Manage the organization's main phone line and direct inquiries as appropriate.
- Monitor, direct, and/or respond to the organization's mail email inbox (info@worthrises.org).
- Pick up the organization’s mail from various mailboxes weekly. Review, organize, scan, disseminate, and/or respond to the organization’s physical mail as appropriate.
- Organize and maintain the organization’s office and storage spaces. Retrieve items from our storage unit as needed.
Critical Factors for Success
The ideal candidate is motivated by protecting people doing hard things. They believe that logistics, clarity, and administrative excellence are the foundation of all good work and that it is their job to implement those systems and keep the machine running, allowing the ED and others at the organization to focus on their specializations. Their superpower is anticipating what is needed before it crosses anyone else’s mind, and then making it happen without drama or delay. Through the support they provide, they feel connected to the impact that the organization makes and can see the big picture of how they fit into our wins and successes. They carry themselves with professionalism, warmth, and respect — and can be trusted to speak, write, and act on behalf of the ED.
They are a motivated self-starter who is reliable, highly organized, a proactive and innovative problem-solver, has exceptional judgment, consistently delivers high-quality work, appreciates direct feedback, and the following:
- Unshakably trustworthy. They’ll be privy to sensitive communications, strategic planning, and private moments. They must demonstrate discretion, confidentiality, loyalty, and integrity.
- Rigorously detail-oriented and meticulous in execution. They rarely miss a beat. They have systems for tracking everything and are proactive in catching things before they slip.
- A natural calibrator of tone. They know to say the right thing, the right way, to the right person. Whether talking to a funder, partner, or target, they reflect the ED’s voice and values.
- Calm in chaos. The ED’s world is high-stakes, fast-moving, and emotionally charged; through this, they will be stable, unflappable, and never escalate stress.
- Fluent in executive communications. They know how to think like a leader, strategically understand what’s worth elevating, and communicate with clarity and brevity.
- Self-directed. They do not wait to be told what needs to be done. They proactively identify gaps and handle them. They are proud of how little hand-holding they require.
- Grounded in care. They care deeply about the people they support. They take responsibility for protecting not just calendars and inboxes, but also the wellbeing and success of the ED.
- Respected for polish. People trust them and want to work with them. Colleagues come to them when something needs to get done, and know they will be gracious, efficient, and effective.
Minimum Qualifications
- At least five years of experience as an Executive Assistant supporting a senior executive in fast-paced, high-stakes environments, including inbox, calendar, and travel management
- Excellent written and verbal communication skills with experience interfacing with high-level stakeholders and comfort drafting correspondence on behalf of a senior executive
- High degree of digital and technical fluency, particularly in Microsoft Office and Google Suite, with ability to research and adopt new tools to improve workflows (including AI)
- Strong systems thinking and project management skills
- Travel availability for high-priority engagements
- Spanish fluency is a plus, but not required
- Genuine commitment to our organizational values: act with integrity, focus on impact, deliver excellence, get it done, and operate with intellectual curiosity (visit worthrises.org/jointhefight)
