Administrative Assistant/Front Desk Clerk

Job Duties and Responsibilities:
The Administrative Assistant/ Front Desk Clerk is responsible for undertaking all receptionist and clerical duties at the desk of our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly and easygoing personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information.
Essential Duties:
- Greetings and welcome visitors.
- Keep a spreadsheet with customer complaints and suggestions / act as a customer service representative.
- Keep inventory and order office supplies as well as products.
- Make coffee/tea for the executive team.
- Coordinate with janitorial staff for all cleaning procedures.
- Direct all calls and emails accordingly.
- Ensure the front desk, kitchen and storage room are neat, presentable, and equipped with all the necessary supplies.
- Receive letters, packages etc. and distribute them; -ensure to check for packages in the lobby mailing area at least 3x per day (9AM, 12PM, 3PM) **If packages are heavy ask for assistance to deliver them upstairs.
- Prepare outgoing mail by drafting correspondence, securing parcels etc.
- Keep updated records and files.
- Take up other duties as assigned (travel arrangements etc.);
- Periodic office check-up to ensure everything is clean.
- Ensure that the kitchen is stacked with bread, milk, coffee, prior to everyone’s shift.
Preferred Qualifications:
- Highly proficient in English (oral and written);
- Strong communication and people skills.
- Excellent organizational and multi-tasking abilities.
- Knowledge of MS Office programs.
- Familiarity with office machines (e.g. fax, printer etc.).
- Problem-solving skills.
