About the Opportunity:
This is an opportunity for an Executive Assistant to support our client's dynamic executive team. In this role, you’ll play a crucial part in streamlining operations, managing schedules, and providing high-level administrative support that enhances executive productivity and organizational efficiency. The office is in Great Neck, NY.
Responsibilities:
· Manage complex calendars, appointments, and travel itineraries for C-suite executives (CEO, COO, CFO).
· Serve as the primary point of contact between executives and internal/external stakeholders.
· Draft, proofread, and manage communications, including emails, reports, and presentations.
· Coordinate and prepare materials for meetings and ensure follow-ups are completed.
· Handle phone calls, messages, and correspondence with professionalism and discretion.
· Track budgets, process expense reports, and oversee company credit card and cell phone accounts.
· Provide personal assistance to the CEO and family, including travel and household management.
· Support real estate operations by maintaining leasing documents, collecting tenant payments, and verifying insurance and event agreements.
· Troubleshoot minor IT issues and liaise with external IT providers.
· Oversee office supply inventory, equipment maintenance, and subscription management.
· Collaborate with HR to post jobs, source candidates, and support onboarding processes.
Qualifications:
· Proven experience supporting C-suite executives as an Executive Assistant.
· Strong background in calendar management, travel planning, and office administration.
· Tech-savvy with the ability to quickly learn and master new systems.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Exceptional organizational skills and attention to detail.
· Ability to handle confidential information with discretion.
· Strong interpersonal and communication skills.
· Flexibility to adapt to shifting priorities and occasional work outside of regular hours.
· Bonus: Experience in office management, customer service, or real estate admin support.
