Mobile Associate
As a Mobile Associate, you will serve as a key point of contact, managing telephone communications and delivering exceptional customer service. This role involves operating the company switchboard, routing calls efficiently, addressing inquiries, and providing administrative and conference services support. Reporting directly to the Client Relations Manager, you will help ensure a smooth, professional, and responsive workplace environment.
Please note: This position is based out of Manhattan, NY. However, this position requires the ability to commute to Greenwich, CT as needed.
Compensation: $25.50 – $26.27 per hour
Schedule: 6:30 AM – 7:00 PM | Varying 8-hour shifts, Monday through Friday
Key Responsibilities
Switchboard Operations
- Manage incoming and outgoing calls using the company switchboard with professionalism and accuracy
- Maintain knowledge of staff directory and extensions for seamless call routing
- Monitor multiple phone lines to ensure efficiency
Call Routing & Messaging
- Route calls to the correct departments or team members with discretion and confidentiality
- Take and relay accurate messages via appropriate channels (email, text, etc.)
Customer Service
- Provide warm, helpful service to all callers and visitors
- Respond to general inquiries with accurate information about the company and services
Call Logging
- Record key call details, including caller information and purpose
- Maintain organized call logs for future reference and reporting
Emergency Response
- Follow protocols during urgent situations, maintaining composure and notifying appropriate personnel
Administrative Support
- Assist with internal communications and announcements
- Maintain accurate and up-to-date employee directories
- Coordinate with the receptionist to ensure continuous coverage
Conference Services
- Set up conference rooms, including staging, layout, and AV coordination
- Organize catering for meetings and ensure timely, accurate delivery
- Maintain office supply inventory to support day-to-day operations
Training & Development
- Participate in company training programs, including via the Cornerstone platform, to enhance knowledge and skills relevant to the Concierge role
Mailroom & Print Services
- Sort, distribute, and process incoming and outgoing mail and packages
- Monitor and restock mailing and shipping supplies as needed
- Operate and maintain printers, copiers, and other related equipment
- Handle print requests including binding, scanning, and bulk print jobs with attention to detail
- Ensure mailroom and print areas are clean, organized, and fully functional
Position Requirements
- High school diploma or equivalent required; college degree preferred
- At least 1 year of experience in a similar customer-facing or administrative role
- Proficiency in Microsoft Office Suite
- Strong communication and interpersonal skills
- Discretion and commitment to maintaining confidentiality
- Ability to commute to Greenwich, CT when required
