Position Overview
The Project Specialist provides essential project management and operational support to ensure successful delivery of projects within defined budgets and timelines. This role also functions as a Training & Communications Specialist supporting the Payroll department through content development, process documentation, onboarding activities, and internal communication initiatives.
This is an on-site role based in New York, primarily supporting payroll operations and employee development.
Key Responsibilities
Project Management Support
· Assist in managing projects to ensure completion within established budget and timelines.
· Identify project activities or issues that could negatively impact the project budget.
· Monitor invoicing and billing activities; prepare aging reports for Project Managers.
· Support budget reviews for business plan proposals based on current and projected project needs.
Training & Communications Support
· Develop training materials, job aids, memos, presentations, and internal communications.
· Lead new hire orientation and onboarding activities for the Payroll team.
· Collaborate with Payroll leadership to document and communicate processes and workflows.
· Ensure accuracy, clarity, and consistency in all written and visual materials.
· Support payroll process improvements and employee development initiatives.
Technical Skills
· Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
· Experience with WebEx and other collaboration platforms.
· Proficiency in content development tools such as Adobe Captivate, Articulate 360, and other e-learning software.
· Familiarity with visual/graphic design tools (e.g., Adobe Creative Suite) and adherence to brand guidelines.
Required Skills & Qualifications
· 3+ years of relevant experience, including at least 1 year in a supervisory or leadership capacity (education, retail, hospitality, HR, healthcare, customer service, marketing, or sales).
· Background in Payroll is a plus but not required.
· Strong communication, organization, and project management skills.
· High attention to detail and strong work ethic.
Education
· Bachelor’s degree required — Preferred fields: Training & Development, Human Resources, Communications, Education, or Graphic Design.
