Executive Assistant – C-Suite Support (Hybrid, NYC)
Location: New York, NY
LHH Recruitment Solutions is seeking a high-level Executive Assistant to support two C-suite leaders on behalf of our client, a mission-driven organization in New York City. This is a hybrid role with consistent on-site expectations and requires a polished, proactive professional with a demonstrated ability to manage complex schedules, support cross-functional projects, and handle sensitive communications with confidentiality and diplomacy.
Key Responsibilities:
Executive & Calendar Management

Manage high-volume scheduling, meetings, and event coordination

Act as gatekeeper for executives—prioritize requests and protect their time

Coordinate meeting follow-ups and track deliverables
-
Book domestic travel and provide logistical support as needed
Budget & Contract Administration

Process executive credit card expenses and department invoices
-
Track monthly budgets, assist with annual budgeting inputs
-
Manage contract lifecycle: follow-ups, approvals, filing, and accessibility
Communication & Document Support

Handle internal and external correspondence with professionalism
-
Conduct light research and coordinate recurring status reports
-
Manage executive files and maintain document confidentiality
Project & Departmental Coordination

Assist with special projects related to internal communications, culture-building, and operations

Provide backup EA support to other departments during absences or high-volume periods

Manage and maintain tracking systems for merchandise, calendars, and reporting
Qualifications:
-
Bachelor’s degree required; advanced education preferred
-
5+ years of experience supporting C-level executives in fast-paced environments
-
Strong command of Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams
-
High level of discretion, judgment, and professionalism
-
Strong written, verbal, and interpersonal communication skills
-
Excellent time management and multitasking ability
-
Demonstrated experience coordinating budgets, travel, and internal processes
-
Commitment to working in alignment with the organization’s mission and values
Additional Details:
-
Work Environment: Hybrid – minimum 2 days/week onsite in NYC office
-
Hours: Monday–Friday, 9 AM–5 PM with availability for occasional evening/weekend needs
