We are seeking a highly skilled and experienced Project Accountant to join our finance team.
The Project Accountant will be responsible for overseeing all aspects of project accounting and billing functions across a range of current projects. This includes project setup, budget maintenance, billing rate table setup, time and expense review, revenue recognition, invoicing, financial analysis and reconciliation, accounts receivable and collections, processing subconsultant invoices/payments, and project closeouts. This role will require a strong understanding of accounting principles, project financials, and the ability to manage multiple projects simultaneously. This position requires attention to detail, proactive communication, and the ability to work collaboratively with both the finance and project management teams.
Position Responsibilities:
- Prepare and issue monthly invoices for all projects, including complex agency projects such as SCA, TBTA and MTA, ensuring accurate and timely billing based on project milestones, terms of contracts and agreements.
- Manage billing requirements for complex contracts, including progress billing, retainage, and change orders.
- Ensure accurate revenue recognition for each project in accordance with company policies and accounting standards.
- Track and allocate project costs, including labor and subconsultant fees, ensuring they align with project budgets.
- Record all cash receipts and notify relevant staff (PMs, Partners, Principals) when project-related payments are received.
- Manage accounts receivable, track client payments, resolve billing discrepancies, and follow up on overdue payments.
- Set up new projects ensuring all necessary financial detailssuch as billing terms, billing rate tables, project budgets, and cost structuresare accurately entered and aligned with contract terms.
- Maintain and monitor project budgets throughout the project lifecycle, ensuring they remain accurate and up to date.
- Review and process subconsultant invoices and ensure timely processing and payment in accordance with contract terms.
- Maintain and manage relationships with consultants, ensuring smooth financial transactions and compliance with contract terms.
- Coordinate with Project Managers to review project financials, billing requests, consultant fee reviews and collections, ensuring alignment on all project related financial matters.
- Prepare monthly financial reports, including cash flow projections, budget vs. actual analysis, and project status updates for Project Managers and Senior Management.
- Maintain clear communication with clients, consultants, and internal teams regarding project-related financial matters.
- Prepare all necessary Deltek reports as requested and assist Project Managers in understanding project financials and provide training on the use of Deltek for project financials.
- Ensure all project financials are reconciled at project closeout, including final billing, cost analysis, and financial documentation for handoff.
- Participate in project audits and assist in preparing financial statements for internal or external review.
- Assist the Marketing team with financial data and reporting requests to support proposal and marketing efforts.
Position Requirements:
- Minimum of 5 years of experience in all aspects of Project Accounting.
- Accounting experience in Architecture, Interior Design and Engineering firms.
- Proficiency with Deltek Vision is a must.
- Experience with Microsoft Office and Outlook.
- Excellent written and interpersonal communication skills.
- Must be self-motivated, organized, detail-oriented, and able to work well independently and as part of a team.
- Must have the ability to work extra hours and/or overtime hours as needed.
