The Operations Professional Assistant provides administrative and operational support to the Operations Department, ensuring smooth day-to-day functions and continuity of service. This role balances office coordination, data management, and hands-on operational responsibilities. The PA will assist with inventory, CMMS work orders, vendor coordination, reporting, and special projects as needed. This position is cross trained to provide coverage in the absence of the Operations Clerk or Receiving/Shipping Coordinator.
The PA models effective leadership principles, drives a culture of accountability, and maintains a safe and organized work environment.

Pay Range: $19.74 - $23.41 Hourly; Based on years of experience and education
REPSONSIBILTIES:
- Ensures effective communication, accurate documentation, and smooth coordination of office activities in a fast-paced, high-demand environment.
- Ensures timely entry, tracking, and reporting of maintenance activities to support operational efficiency and data-driven decision-making.
- Provides backup coverage for Operations Clerk or Shipping/Receiving duties as needed.
- Responsible for coordinating with external vendors and contractors, supporting departmental projects, and ensuring accurate communication and documentation of services to maintain operational efficiency and accountability.
- Responsible for managing vendor invoices and tracking project-related expenses to ensure accurate financial records, budget compliance, and timely reporting.
- Maintain respect, professionalism, and courtesy in all interactions with colleagues, supervisors, families, and stakeholders.
- Demonstrate accountability in using resources, ensuring they are utilized efficiently and sustainably to benefit individuals and the organization.
REQUIREMENTS:
- High School Diploma or GED.
- Minimum 5 years of experience in office operations, facilities, warehouse, or logistics environments.
- Proficiency in Microsoft Office, including Excel; experience with Computerized Maintenance Management Systems (CMMS) preferred.
- Must be able to lift and move up to 40 lbs and assist with projects or warehouse tasks.
- Strong organizational, communication, customer service, and problem-solving skills required.
- Ability to analyze and interpret operational and facilities-related data, and balance administrative and hands-on operational tasks.
- Must be proactive, client-service oriented, and able to take initiative in a high-volume, fast-paced environment.
