Job DescriptionOperations Specialist – Marketing
LHH Recruitment Solutions is currently seeking a Operations Specialist – Marketing with 2 or more years of experience for a full-time job, located in Manhattan, NY. This is an excellent Temp to Perm opportunity for someone with prior administrative and marketing experience.
Responsibilities:
- Partner with the Marketing Director to streamline day-to-day operations and contribute to firmwide marketing initiatives.
- Assist in the development, coordination, and execution of marketing materials and campaigns across various channels.
- Help manage the production and rollout of marketing communications, ensuring consistency and timeliness.
- Maintain and regularly update marketing records, databases, and internal documentation.
- Oversee scheduling and calendar management for the marketing team, including resolving conflicts and organizing meeting logistics.
- Prepare and distribute meeting agendas, presentations, and supporting materials in advance.
- Take and distribute meeting notes as needed, ensuring timely follow-up and documentation.
- Organize and archive meeting content, including recordings and transcripts, using cloud-based storage systems.
- Manage procurement and inventory of departmental supplies.
- Process expense reports, time entries, vendor contracts, and invoices with accuracy and efficiency.
- Serve as the primary point of contact at the New York office, professionally handling incoming calls by answering, screening, and directing them to the appropriate parties. Greet and assist all visitors, representing the firm with a welcoming and professional demeanor.
- Manage the receipt, sorting, and internal distribution of incoming mail and packages. Coordinate express mail services, including FedEx, UPS, and other couriers.
- Oversee outgoing mail processes and provide support for shipping, delivery, and courier arrangements as needed.
Qualifications:
- Proficient with Microsoft Word, Excel, CRM
Experience:
- Minimum 4 years of experience in an administrative or marketing position
Worksite: Hybrid- 4 Days onsite, 1 Day Remote
Employment Type: Temp to Perm
Salary: $28-32/hr
Pay Details: $28.00 to $32.00 per hour
