Location: Farmingdale, NY
Salary: $45,000 – $60,000 (Full-Time)

About the Role
A fast-growing environmental and construction services firm is seeking a motivated and highly organized Executive Assistant to support senior leadership. This dynamic role combines executive-level administrative support with hands-on involvement in marketing, sales, and operations. It’s ideal for a self-starter who thrives in a fast-paced environment and enjoys balancing high-level coordination with creative and client-facing responsibilities.

Key Responsibilities
Executive Support

Manage complex executive calendars, coordinate meetings, appointments, and travel

Prepare agendas, presentations, and meeting materials; take notes and track action items

Handle travel arrangements, itineraries, accommodations, and expense reports

Act as a liaison between executives and internal/external contacts

Manage confidential information and sensitive documents with discretion

Organize digital and physical files, contracts, and business records
Sales & Marketing Support

Assist in creating and distributing marketing content (emails, newsletters, social media, blogs)
-
Coordinate brand initiatives such as brochures, presentations, and promotional items
-
Maintain and update CRM records to support sales outreach and tracking
-
Research prospective and current clients for sales team prep and engagement

Support execution of tradeshows, industry events, and client initiatives
-
Follow up with clients on upcoming projects and service needs
Operations & Office Management

Plan internal events such as team outings, company celebrations, and charitable efforts

Draft internal communications, announcements, and executive messaging

Monitor project timelines, competing priorities, and executive deliverables

Assist in general office coordination and process improvement efforts
Special Projects & Strategic Support

Collaborate across departments (Finance, HR, Sales, Ops) to support business goals

Track progress on strategic initiatives and ensure timely follow-through

Recommend and implement administrative and process efficiencies
Ideal Candidate Qualifications
-
3+ years supporting C-level or senior executives
-
Excellent written and verbal communication skills

Highly organized with strong time-management abilities

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Capable of managing multiple projects independently

High energy, professional demeanor, and strong work ethic

Experience in marketing, communications, or sales support is preferred

Familiarity with CRM platforms and digital marketing tools is a plus
