Job Description

Overview:
We are seeking a highly organized and detail-oriented NYC DOB Filing Representative / Zoning + Code specialist to support our architectural filing operations. The ideal candidate will have hands-on experience with DOB filings, a strong understanding of NYC DOB process and procedure, and the ability to manage multiple tasks under tight deadlines.

Full-time, In-Person Only

Qualifications:

Valid NYC DOB Class 1 or Class 2 Filing Representative I.D.
Familiarity with DOB filing procedures, including DOB NOW and in-person submissions
Deadline-driven with exceptional attention to detail
Strong organizational and communication skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with online filing platforms
A personal vehicle for visits to DOB offices in Queens and The Bronx
Ability to work independently and as part of a team

Responsibilities:

Answer inbound phone calls
Greet and assist onsite guests
Prepare, submit, reassignments, reinstatement, certificate of correction, process permits, LOC Certificate of occupancy.
Coordinate with contractors, and special inspectors and DOB to obtain required documents
Maintain organized filing systems (both physical and digital) for all project records
Monitor filing deadlines to ensure timely submissions and approvals
Conduct in-person visits to DOB offices as needed for submissions, pickups, or clarifications
Assist with general administrative tasks, including scheduling, correspondence, and document preparation
