Location: Tarrytown, NY

Hours Per Week: 20 hours (3 days per week, onsite)

FLSA Classification: Part Time Non-Exempt

Annual Salary Range: $20 per/hr

We are seeking a dynamic and talented human resources professional with demonstrated experience leading the employee relations function.

Summary Description:

The Human Resources Assistant Office Assistant is a part-time, temporary position assigned to the Human Resources Department (HR). They may also work in other agency programs as needed. The HR Office Assistant is responsible for performing general office duties, including filing, receptionist duties, and computer data entry.

Key Responsibilities:

  • Files and scans HR confidential files, including employee medical, recruitment, and benefit files.
  • Pulls terminated personnel files and updates pre-employment check binders.
  • Prepares active personnel files for scanning, removing duplicate forms, and ensuring nothing is misfiled.
  • Performs data entry as necessary (company property, training courses, etc).
  • Assists with HR events, orientations, and trainings.
  • Assembles and complies HR documents, including but not limited to applicant paperwork and emails, new hire employee packages, and orientation papers for new volunteers and interns.
  • Responsible for the organization of the work area and requisite work documents.
  • Performs job duties in compliance with all federal, state, and agency-mandated guidelines.
  • Performs secretarial and clerical duties in other GMH programs as needed.
  • Attends and completes all GMH or state-sponsored In-Service Training Programs related to position, program, or agency goals.
  • Performs other duties as assigned.

Key Competencies:

  • Well-developed organizational, verbal, and written communication skills.
  • Demonstrated proficiency in operating Microsoft Office Suite products, including Word, Excel, Outlook, and database management.
  • Demonstrated ability in prioritizing and completing multiple simultaneous tasks.
  • Ability to maintain confidentiality when working with sensitive information.

Key Performance Indicators (KPIs):

To measure the effectiveness of our employee relations strategy, we track the following Key Performance Indicators (KPI’s):

  • Accuracy of data filled.
  • Compliance with confidential information.

Requirements:

  • High School diploma and/or six months of clerical/administrative experience or equivalent.
  • Experience working with people who have mental illness, a plus.
  • Experience working with a diverse population is preferred.
  • Previous experience in Human Resources is a plus.
  • Fluency in English (Reading, Writing, Speaking).
  • Must be and maintain clearance by applicable regulatory clearances as required.
  • Proficiency in ADP Workforce Now or similar HRIS.
  • Proficiency in operating Microsoft Office Suite products, including Word, Excel, Outlook, and database management.
  • Physical Demands: While performing the duties of this job, the employee is regularly required to sit and talk or hear.
  • The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms, as well as speak, hear, and see.
  • The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds.

Special Considerations:

  • Work schedule:
  1. 100% onsite.
  2. Hours per week, reporting structure, and location are subject to change per organizational needs.


Mandated Reporter:

This is a Mandated Reporter position. The NYS Justice Center legislation defines anyone who has regular and substantial contact with any person with special needs as a “custodian” under the law and, therefore, a mandated reporter. You can be held liable by both the civil and criminal legal systems for intentionally failing to make a report.
